JOB TITLE: Office Manager
JOB SUMMARY: Assists directors with communications, record keeping, customer relations, marketing, billing and payroll.
ACCOUNTABILITY: Office Manager Reports to Director
EQUIPMENT USED: Telephone, fax machine, copy machine, typewriter, personal computer and adding machine.
ENVIRONMENT: 95% Inside, 5% Outside
DUTIES AND RESPONSIBILITIES:
Except as specifically noted, the following functions are considered essential to this position.
1. Required to process and maintain all employee personnel files to include, but not limited to: employment application, W-4, I-9, security release, health benefit forms, attendance, payroll master file, termination, orientation, training, etc.
2. Directs applicants to the facility ensuring accurate completion of the employment application and security release form.
3. Required to record and maintain all schedules and time card records to ensure an accurate payroll.
4. Answers phones and directs all calls and visitors to the facility.
5. Required to monitor, maintain, receive payments, and mail all monthly invoicing regarding resident accounts.
6. Required to process inquiries for residency, including but not limited to: conducting tours by appointment and walk-ins, follow-up on inquiry calls, prepare move-in forms.
7. Required to assist with residents’ daily activities as needed (ie. Fill in for call offs), monitor resident’s whereabouts to ensure residents’ safety.
8. Cross training: Staff will be cross trained to perform various functions to meet residents’ health, safety and welfare needs.
9. Creates and maintains an atmosphere of warmth and personal interest with a positive emphasis as well as a calm environment throughout the facility.
10. Required to notify dietary department of visitor meals required on an as needed basis.
11. Required to do all things necessary for the resident’s health, safety and welfare.
12. Must consistently demonstrate a positive attitude and behaviors, while contributing to the overall success of the Company.
13. All other duties as assigned by supervisor.
Qualifications
Must have one-year clerical experience in an office with billing, payroll, personnel, multi-line phone systems and be computer proficient in Microsoft Office& Internet use. Must be results and detail-oriented with excellent organizational skills and have the ability to multi-task.
High school diploma required. Previous secretarial, computer and supervision skills desirable.
