SCOPE:

Under direct supervision, is responsible for greeting patients and visitors into the office in a prompt, courteous and professional manner, Insures all appropriate forms are complete, accurate and signed according to company guideline, Scheduling patient appointments and tests in an efficient and timely manner.  Answers all incoming calls and directs calls to appropriate personnel; serves as a liaison between patient and medical staff. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Oversees the front desk – reception area; greets patients and visitors into the clinic in a prompt, courteous and professional manner.

 

*Answers all incoming calls; assesses caller’s needs and directs to appropriate personnel. 

 

 *Obtains demographic and insurance information; obtains copy of patient’s insurance cards and current driver’s license for EMR, obtains patient referrals and authorization

*Verify insurance and updates demographic and insurance information

 

*Registers all new patients into the EMR system. *Schedules new patients and return appointments in computer system in accordance with physician and/or office guidelines.   Cancels and/or reschedules appointments according to physician schedule changes; notifies appropriate clinic personnel

*Pages clinic personnel as appropriate.  Obtains and communicates messages in an   accurate and timely manner.

 

*Updates demographic and insurance information as needed in the EMR system. 

*Registers all new patients into the EMR system. 

*Notifies nursing staff of patient arrivals via EMR system so patients may be received in

  Coordination with their scheduled appointment.

 

*Collects co-pays, deductible and other out of pocket amounts at time of visit issue receipt of payment if necessary. Maintain lobby area in a neat and orderly manner.

 

*Handles incoming phone calls from patients needing to schedule or reschedule appointments

 

*Obtains and enters all authorization and correspondence relating to referrals in patients   charts and computer.

 

*Prepares notes and gets results for studies, pathologies, labs etc. ordered for patients.

 

*Schedules outpatient appointments/testing and hospital admissions upon request.  Obtains necessary pre-certification as required.

 

*Handles new patient referrals, gathers necessary information, assigns the patient account number and schedules appointment.

 

 

*Provides patients with accurate and legible appointment cards.   Documents’ no shows in patients chart for missed visits.

 

* Identifies no shows and forwards for patient notification and follows up with patient to reschedule any missed appointments.

 

*Demonstrates an understanding of patient confidentiality HIPAA rules to protect the patient and clinic/corporation.

 

*Follows policies and procedures to contribute to the efficiency of the front office.  Covers for other front office functions as requested.

 

*Any other essential function as assigned by the Office Manager.

 

 

MINIMUM QUALIFICATIONS:

 

High school diploma or equivalent required.   Position is entry level and requires 1-3 years’ experience, preferably in a medical office setting.
