Job Summary
OneAmerica is seeking an experienced, reliable and results oriented Executive Assistant to join our company. This role would be responsible for providing comprehensive administrative support to a Senior Vice President or Executive Council Member.
Essential Duties and Responsibilities: The ideal candidate is highly motivated and organized, relationship building, professional, and capable of supporting multiple executives, heavy workload, and prioritizing tasks in a fast-paced environment.
Primary duties may include, but are not limited to:
- Drives internal / external board preparation and maintaining board and industry meeting schedules
- Responsible for compiling materials for all company board meetings, including preparing agendas, reports, handouts and uploading information to secured board portal
- Board/Committee meetings and record minutes
- Establish working relationships with Board members in verbal, written, and electronic correspondence
- Act as a liaison between executive, their team and other key business partners keeping everyone connected and informed
- Ensure strategic alignment and productivity of the executive's time by creating calendar priorities for complex schedules, events, email management including checking, organizing, and drafting communication in the voice of the executive and the company
- Arrange all aspects of meetings and attend meetings to take detailed action items
- Leading, planning and partnering to facilitate web and in-person presentations for company and industry meetings
- Partner with leaders in prioritizing discussion topics and decisions to be made at meetings, conferences, and other key events
- Drive faster decision-making and feedback by creating, communicating, and executing efficient approval processes and workflows
- Identify and lead key initiatives to improve associate engagement, internal communications, and influence other departments and company-wide focus areas
- Maintains confidentiality and sensitive information, holding a high standard of integrity while navigating stakeholders' commitments and requests aligned to the needs of the business and the executive
Job Requirements
- High School Diploma or equivalent
- Bachelor's Degree or any combination of education and experience which would provide an equivalent background.
- Strong organizational skills
- Ability to multi-task and work in fast-paced, demanding environment
- Excellent oral and written communication skills
- Ability to make decisions and maintain confidentiality
- Minimum 2 years’ experience supporting Board/Committee members; including recording & composing minutes
- 5 years of Professional level experience in a related executive support role or any combination of education and experience which would provide an equivalent background
- Advanced computer skills, Excel, Word, PowerPoint, Outlook, & Teams
Salary Band: 04B
This selected candidate will be expected to work Hybrid in Indianapolis, IN. The candidate will also be expected to physically return to the office in CA, WI, IN or ME as business needs dictate or for team-building and collaboration.
