Pay range: $24.00 – $30.00 per hour (DOE)

Supervision: None

Level of Authority: Responsible for project deadlines, identifying needed resources and business opportunities of assigned projects.

Schedule:

·       9 am – 5 pm

·       Monday to Friday

·       Rare but regularly scheduled evenings or weekends for events

Oregon Council for Behavioral Health is a non-profit membership association. Our Mission is to promote, develop, and maintain the highest quality community programs and services for the treatment of problems related to behavioral health and to promote the recovery of Oregonians with substance use disorder and/or psychiatric disabilities.  Our members are Oregon's state letter of certificate holding behavioral health provider organizations, see our member roster here. Our members deliver behavioral health services including SUD and Mental Health treatment, to over 270,000 Oregonians annually. OCBH is a small team that works with our members as a community of practice as a trade association. We work with high level decision makers and leaders in the field.

Role:

The Events & Communications Coordinator position coordinates with team to develop a wide scope of communications, including creation of written content, dissemination of member, staff and partner news to the community, and regular communications about upcoming events. This role closely collaborates with other staff to develop engaging events and to identify newsworthy content to cover on Social Media and in weekly update e-newsletter and annual report.

This role requires the ability to work both independently and collaboratively as OCBH is a diverse intellectual community dedicated to excellence.

Reporting to the Director of Operations, this position is detail-oriented and has strong experience in planning events and meetings including online meeting platforms, managing calendars and timelines, works well independently, comfortable with technology, is an excellent problem-solver while demonstrating diligence, flexibility and maintaining a great attitude.

The Events & Communications Coordinator will need to function well in a position with variable tasks, solve problems independently, and be flexible and adaptable to change. Creative problem-solving skills and a commitment to working together to get the job done are essential. The ideal candidate for this position is dependable, pleasantly persistent, and willing to try multiple approaches to move work forward.

The Events & Communications Coordinator’s responsibilities require consistent, clear, and diplomatic communication, initiative, accuracy, attention to detail, and planning are especially important as this position supports the productivity of the entire team.


Responsibilities

Key responsibilities include, but are not limited to, the following:

·       Facilitate planning and support of online and in person events from start to finish

·       Create and format events in Cvent platform

·       Track event registration lists in database and run reports

·       Track registrations and assist with sponsor and attendee follow up

·       Assist with event processes as needed

·       Schedule and arrange meetings

·       Collect and track event data

·       Contribute a positive office environment and culture through both individual and team engagement

·       Adhere to the organization’s cultural and behavioral standards

·       Provide feedback, guidance and direction as needed

·       Support expansion of best practice and consistency across the organization

·       Highlight communications & events risks immediately to the Director of Operations as they arise for discussions and resolution

Events Support and Publicity 

  • Publish events on the website's event calendar and on social media platforms as appropriate.
  • Compile and publish events in the e-newsletter.


Graphic Design 

  • Collaborate with contracted services on design esthetic for OCBH brand and events
  • Develop professional-quality collateral material for events; including website landing pages, registration, recruitment emails, and marketing posters
  • Collaborate with staff on design and procurement of event swag.

Web/Social Media

  • Strategize, coordinate, compose, and post online content via website, social media outlets, and regularly scheduled e-newsletters. 
  • Manage the main website using Memberclicks.
  • Compile analytics/reports for leadership about the efficacy of our digital presence.
  • Coordinate with contracted services to photograph and record videos of events and develop a visual catalog of OCBH history.
  • Maintain organized repository of digital media for use in publications

Newsletter & Development Communications 

  • Coordinate the creation and distribution of weekly e-newsletter and annual report, working with the ED and Member Engagement on messaging priorities.
  • Proactively support and advise other teams on communications.


Technical Skills:

·       Excellent knowledge of Microsoft Office Suite, (including Word, Excel, and PowerPoint), Gmail and Zoom meetings

·       Experience in event platforms, Cvent preferred.

·       Experience in Adobe

·       Experience in Canva

·       CRM experience

·       Website development/design experience, preferred

·       Comfortable making outbound phone calls.

·       Familiar with LinkedIn, Facebook, and other social and communication platforms.

·       Must be able to document and present work in a clear and concise manner.

·       Ability to quickly learn and utilize a variety of software and systems.

·       Excellent typing and data entry skills.

·       Strong organizational, administrative, interpersonal, verbal, and written communication skills

Qualifications:

·       Strong experience in administrative support, event planning, executive/office assistant. 2 years preferred, 1 year required.

·       Documented experience in event platforms, Cvent preferred.

·       Has event planning or marketing experience.

·       Professional in appearance and demeanor

·       Bilingual Spanish preferred


EDUCATIONAL REQUIREMENTS:

·       Associates or Bachelor’s Degree preferred but not necessary.

·       Events/Marketing/Communications/Administrative Experience: 2 years (Preferred)


PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee is frequently required to do the following:

·       Potentially sit for prolonged periods.

·       Coordinate multiple tasks simultaneously.

·       Accurately complete detailed forms and reports.

·       Calculate figures and amounts.

·       Lift boxes up to 30 lbs
