We are seeking a highly organized, proactive Executive Assistant to support the President and General Counsel of a statewide network of nonprofit legal organizations. These entities work in close coordination to defend private property rights, promote economic opportunity for rural communities, and advocate for regulatory reform across Oregon.


This role is central to the success of the leadership team and mission of the organizations. The Executive Assistant ensures the President and General Counsel are fully supported, well-prepared, and able to focus on high-level organizational priorities. Success in this position means anticipating needs, managing complexity, and maintaining seamless operations across multiple entities. The ideal candidate is discreet, detail-oriented, and committed to helping leadership thrive.


This role also ensures the smooth functioning of the office and core operations by managing facilities, inventory, vendor relationships, and technology support across multiple nonprofit entities.


DETAILS

  • Location: Tigard, OR
  • Employment Type: Full-Time
  • Salary Range: $70,000 - $75,000 (depending on experience)

RESPONSIBILITIES


Executive & Administrative Support

  • Manage complex calendars, travel logistics, and meeting coordination for attorneys and nonprofit staff
  • Serve as front-line contact for calls, office visitors, and stakeholder inquiries
  • Draft and format legal documents, correspondence, grant applications, and board materials
  • Maintain organized filing systems and ensure confidentiality and compliance


Operations & Compliance

  • Oversee daily operations across multiple nonprofit entities
  • Ensure timely compliance filings and reporting


Financial & Human Resources Coordination

  • Assist with budgeting, expense tracking, and financial summaries
  • Process invoices, reimbursements, and payroll
  • Support onboarding, personnel file management, and HR documentation


Development & Fundraising Support

  • Assist with grant applications, reporting, and program evaluation
  • Maintain donor databases and prepare stewardship materials
  • Support fundraising communications and donor research
  • Help organize fundraising events and sponsorship outreach


Office & Facilities Management

  • Supervise office environment, repairs, and vendor coordination
  • Maintain workspace organization and inventory systems
  • Coordinate with IT providers and support staff tech needs
  • Maintain a clean, orderly, and professional workspace that reflects the values of the organization
  • Ensure common areas, meeting rooms, and individual workstations are properly equipped and presentable for staff, clients, and visitors


PREFERRED QUALIFICATIONS


Preferred Qualifications

  • Commitment to our mission of protecting the rights of private property owners to make use of their property and providing high-quality legal services without charge.
  • 3 years of administrative experience, preferably in legal, nonprofit, or executive support settings
  • Understanding of nonprofit operations, including compliance, fundraising, and grant management
  • Experience with budgeting, invoicing, and payroll processes
  • Familiarity with HR practices, onboarding, and personnel file management
  • Professional demeanor and discretion, especially when handling confidential information


Preferred Proficiencies

  • Calendar and travel management tools (e.g., Outlook)
  • Document preparation software (e.g., Microsoft Word, Adobe Acrobat, Google Docs)
  • Spreadsheet and financial tracking tools (e.g., Excel, QuickBooks, or similar accounting software)
  • Database management systems (e.g., Salesforce, DonorPerfect, or other CRM platforms)
  • Grant portals and reporting platforms (e.g., Grants.gov, Foundation Directory Online)
  • Office equipment and vendor coordination
  • Basic IT troubleshooting and coordination with tech support providers
  • Event planning and logistics coordination
  • Professional email and phone etiquette
  • File organization and digital archiving systems

Salary : $70,000 - $75,000
