SKILLS, KNOWLEDGE AND PERSONAL CHARACTERISTICS:

The following attributes are desirable for job success: a minimum of ten years’ experience in managing multiple commercial properties in all asset classes, including retail, industrial, medical office, and office, with experience in multi-family and managing condominium associations. The desired candidate will be certified as a Certified Property Manager (CPM®), Real Property Administrator (RPA®) or Accredited Residential Manager, (ARM®). The ideal candidate must have the ability to supervise staff, have accounting and financial reporting experience, ability to communicate effectively, can problem solve, and the ability to assert yourself and to work well under pressure. The ideal candidate will be self-motivated with the ability to work with/without direct supervision and the desire to work with an Accredited Management Organization, (AMO®) in a small office environment with a supporting, dedicated and motivated team.


SUMMARY OF FUNCTIONS:

  1.  The ideal candidate will be responsible to:
  2. Plan, implement and monitor the operations of multiple properties.
  3. Be responsible for maintaining the integrity of the physical asset and maximizing the returns from each asset in accordance with the owner’s mission, vision, and objectives.
  4. Provide financial and operations reporting as required by owner, not but less than once each month.
  5. Be responsible for client, tenant and vendor relations.


MAJOR DUTIES AND RESPONSIBILITIES:

Duties include, but are not limited to:

     1.  Maintain the physical asset:

a.    Be responsible for providing scope of work, bidding, and contract negotiation for all vendor contracts.

b.    Assure vendor adherence to contractual specifications.

c.    Conduct regular site inspections of each property.

d.    Make recommendations for physical repairs and/or capital replacements.

e.    Negotiate for supplies and services with vendors and contractors to achieve best possible prices.

     2. Financial Reporting and controls:

a.    Prepare annual operating budgets,

b.    Responsible for compliance to approved operation budgets.

c.    Review monthly financials and prepare monthly operation and financial variance reports for all properties managed.

d.    Approve all vendor invoices for assigned properties and ensure all invoices are processed per company standards.

e.    Complete annual common area maintenance reconciliations.

     3. Administration:

a.    Interfaces with outside professionals regarding legal, accounting, insurance, tax, and other matters, as appropriate.

b.    Ensures property files and records are maintained.

c.    Continually improves management and technical skills by attending company paid seminars, courses and continuing education if necessary.

     4. Tenant Relations:

a.    Interface with tenants on day-to-day basis regarding maintenance, complaints and problems relating to service and lease provisions and any other issues as necessary.

b.    Responsible for rent collections at each assigned property. Contact tenants by phone, letter or in person as necessary.

c.    Assists company and third-party brokers in leasing and marketing efforts, and will facilitate negotiations with tenants for lease renewals.


ORGANIZATIONAL RELATIONSHIPS:

Reports directly to the President. Works with administrative staff, other management company employees, outside vendors and service providers.


OTHER REQUIREMENTS:

Hours of Work: Basic schedule includes, but is not limited to, 8:00a.m. to 5:00p.m., Monday through Friday., Must be on call “24 hours”.


Experience: Presently or previously employed with a property management company as a property manager or higher managing commercial property for a minimum of ten years.


Education: Candidate must have a minimum of a two-year degree in Real Estate, Real Estate Management or similar; candidate must have a CPM®, RPA® or ARM® designation. A Wisconsin or Illinois Real Estate Brokers or Salesperson license is a plus, but not required.


Physical Requirements: Candidate must be able to perform the physical functions of the position, which may include, but are not limited to: ability to walk a property, include climbing stairs and ladders to complete physical inspections. The position also includes accessing and doing roof inspections, so a candidate must not have a fear of heights.


Applicant must have a reliable vehicle to perform various management tasks and errands. Applicant must have proof of liability insurance for same. Applicant must be bondable and have a valid Driver’s License.
