Job Summary
Under the general supervision of the Transportation Manager, assists in the scheduling, organizing and execution of transportation services for the PACE participants. Demonstrates knowledge of and supports the PACE Transportation mission, policies, and procedures.
Specifications
Required Education and Experience: High School Diploma or equivalent. One year of Administrative Experience and a minimum of one year of related experience in caring for the frail and/or elderly and/or impaired adult populations. A minimum of one year’s experience transporting the frail, elderly and impaired populations is required.
Preferred Education and Experience: Associates degree. Two years of related experience.
Licensure, Registry or Certification Required: Valid NC driver’s license.

Excellent internal and external customer service skills; Advanced computer skills (Word, Excel, PowerPoint, Google email, Access, Data entry and Publisher); Standard office equipment operation; Establish priorities and handles workflow with frequent interruptions; Ability to work independently; Flexible and able to work well with others; Must possess excellent written and verbal communication skills for telephone and in-person interactions; Ability to represent the organization professionally; Able to read, write, and speak English; Ability to troubleshoot and problem-solve; Demonstrates excellent organizational skills and attention to details.

Key Responsibilities
Administrative Duties: From general direction, composes, edits, signs, and sends correspondence related to scheduling.
- Prepares invoices for the transportation department.
- Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for transportation information in a courteous and professional manner.
- Answers phones for Transportation Department. Takes messages or fields/answers all routine and non-routine questions related to scheduling and/or rescheduling of routes and appointments.
- Acts as a liaison with other departments and outside vendors. Handles confidential and non-routine information in a professional manner.
- Participates as transportation representative in MM and IDT transportation back up in the absence of Transportation Manager.
Scheduling Responsibilities
- Scheduling activities related to transportation needs of participants for PACE of Guilford and Rockingham Counties participants.
- Schedules trip assignments and routes trips in a feasible and cost-effective manner.
- Utilize problem solving, time management, and organizational skills in relationship to scheduling of incoming and outgoing transportation services.
- Assist Drivers as necessary.
- Works closely with staff, participants, caregivers, and transportation providers to resolve transportation related problems.
- Responsible for routine scheduling of all outside service providers of transportation.
- Ensures necessary program records are maintained according to regulation and policy.
- Attends staff meetings.
Driving Responsibilities
- Drives a specially equipped van to deliver physically limited persons to varied destinations. Assures that wheelchair lifts and tie down equipment are properly operated and that participants are delivered to appointments in a timely manner.
- Assists passengers on and off the van in a safe and courteous manner. Handles medical equipment and any emergencies that may arise.
- Performs van inspections and completes inspection documentation. Maintains van in a clean, orderly and safe condition. Reports the need for maintenance.
- Communicates any changes in participant condition or psychosocial situation to Transportation Manager to be taken to Interdisciplinary Team.
- Completes documentation as required.
- Assists with coordination of 24-hour care delivery.
- Ensures delegation of administrative and scheduling duties are appropriately assigned when required to drive.
- Other duties as assigned.
Environmental Factors
Tasks with potential for exposure to blood borne pathogens include, but are not limited to the following:
- Assisting participants with incontinence and/or non-intact skin.
