Job Summary:

The Dispatch and Quality Control Manager is responsible for the supervision and execution of the Pacific Security Dispatch program and team. This position is responsible for ensuring standardization in Celayix and StaffR to optimize system automation and features so that the Operations and Dispatch team can monitor guard activity and performance in real time. This position ensures quality control of all sites and technology used, including ensuring the completion of site set-up related tasks.

The Dispatch and Quality Control Manager is responsible for ensuring real-time monitoring of clock-ins/outs, site tours, addressing technical and operational issues, and maintaining high standards of quality control. This position plays a critical role in verifying site coverage, responding to emergencies, and ensuring compliance with company protocols and client expectations.

Essential Functions:

Timekeeping System

  • Monitor clock ins/outs in Celayix control center. Contact guards for any missed clock-ins/outs in real-time.
  • Process missed clock in/outs
  • Process call off’s
  • Troubleshoot technical app issues with guards.
  • QC Site information and set-up. Notify Operations when errors or incomplete information are found and follow-up until resolved.
  • Ensure all active sites are entered and inactive sites are inactivated.
  • Ensure site set-up complete, including all required data; site address, Geofence, notification emails, site qualifications, restrictions, etc.
  • Ensure post order links are created and in the notes section of scheduled shifts.

Guard Management Program

  • Monitor tours. Contact guards when tours are not being done and or buttons not being scanned.
  • Communicate to Operations when button or tour issues are identified
  • Monitor GPS activity and ensure GPS are all turned on.
  • Respond to Emergency Alerts promptly.
  • Monitor StaffR to identify sites without reports or Daily Activity Logs.
  • Verify correct forms being used.
  • QC Site information and set-up. Notify Operations when errors or incomplete information are found and follow-up until resolved.
  • Ensure all active sites are entered and inactive sites are inactivated. Including guard, patrol, and alarm.
  • Ensure site set-up complete, including all required data; site address, customer contact information, emergency contact information, tours, reports, Geofencing, etc.
  • Ensure post orders are created and input in readable format.

Other duties as assigned.

Minimum Qualifications:

  • Ability to effectively communicate, both spoken and written
  • Experience working with timekeeping, scheduling, and operations systems
  • Thorough and detail-oriented with keen observation skills
  • Ability to react calmly and professionally in emergency and high stress situations
  • Sound judgement and decision-making skills
  • Ability to pass a criminal background check

Education:

High School diploma or equivalent; additional education in Business or Management preferred, or equivalent experience.

Special Training/Skills:

To perform this job successfully, an individual should have knowledge in the following areas:

  • Ability to read, analyze, and interpret general business reports.
  • Ability to read and write reports, business correspondence, and procedures.
  • Self-motivated and able to identify problems or things that don't make sense and provide solutions
