Job Description
Incumbents in this position are responsible for scheduling office based and surgery center procedures utilizing the physicians prescribed plan of care for the patient. The incumbent needs to have a clear understanding of the procedures our providers perform as well as all processes associated with the procedure and with financial authorization from various insurances. This position requires excellent customer service skills with patients, physicians, employees, and the public.
Duties and Responsibilities:
· Schedule all procedures requested by the physician utilizing their order, schedule, preferred location and availability.
· Document all needed information in Intergy.
· Communicate time, date, and location of the upcoming procedure to the patient.
· Provide the patient with clear directions for their procedure. Utilize attached Scheduling Process Reminders when educating the patient.
· Request blood thinner clearance from primary care physician or ordering specialist.
· Ensure all upcoming procedures have authorizations.
· Runs prior authorization daily and reviews with scheduled appointments.
· Review incoming task and faxes, appropriately document actions taken in the patient’s EHR.
· Enters incoming authorizations into the patient’s EHR and attaches to scheduled appointment.
· Reviews chart for medical necessity and communicates with the provider when needing further clarification.
· Maintains up to date guidelines and knowledge of ICD codes and CPT codes.
· On a daily basis reviews provider schedules to fill open gaps.
· Request STAT procedure authorization for same day procedure.
· Reschedule and/or Cancel procedure appointment as directed by the provider.
· When same day procedures have been canceled obtain a new authorization.
· Answer all incoming calls in an appropriate manner, always document actions taken in the EHR.
Procedure Scheduler Requirements and Qualifications:
· High school diploma or equivalent.
· Friendly and compassionate disposition.
· Excellent organizational and time management skills.
· Ability to work independently as well as part of a team.
· Medical terminology knowledge preferred.
· Knowledge of Electronic Health Care Systems and meaningful use.
· Ability to maintain confidentiality of all medical, financial, and legal information, HIPPA compliant.
· Ability to communicate effectively, both orally and in writing.
· Provide excellent customer service to all internal and external customers.
