Job Summary:
The Medical Secretary-Phone Center will provide outstanding customer service for our patients, families and community colleagues to ensure the best first impression as the first person a visitor or patient speaks to. This position contributes to our overall success with patient satisfaction by consistently delivering outstanding customer service to patients, providers and payers throughout the patient’s healthcare experience.
You will be responsible for many administrative support duties and perform a wide variety of patient care activities, including the prompt and accurate handling of scheduling/registration, addresses patient concerns and communicates courteously throughout the delivery of care. Aims always for first call resolution. Collaborates with physician offices and clinical departments to coordinate services, prepares patients for their visit, and maintains all of its support processes.
This position requires a warm and inviting disposition, as you will be the first point of contact for our patients and their families. You are key in the success of operations and compassionate patient care every day.
Panorama Pedicatric Group is a large, yet intimate medical practice comprised of 9 physicians and 7 nurse practitioners/physician assistants providing compassionate, comprehensive healthcare in collaboration with our patients. Our practice gives patients a quality experience in a warm, personal setting. Our office is located in beautiful Penfield/Rochester border, convenient to 490.
We are seeking an individual who can help distinguish our practice as an amazing place. You will help create a wonderful first impression for patients/visitors, set the tone and be responsible for delivering a sophisticated experience. You will work closely with providers, clinical and clerical team each day on direct patient care, scheduling needs, responding to telephone calls, processing paperwork and informing patients on their care.

LOCATION: Panorama Pediatric Group - 220 Linden Oaks, Suite 200
SCHEDULE: M-F days 7-4 pm, rotating weekend schedule 8-12 pm
Essential Job Functions:
As a member of the Medical Secretary-Phone Center Team:
· Answer incoming calls in a timely and professional manner.
· Schedule appointments
· Listen and respond to caller's needs for guidance and information.
· Complete triage communication to Providers for follow up.
· Obtain necessary medical information regarding potential from the caller to communicate to the nursing triage team.
· Place outbound calls to patients/families following Provider instructions.
· Relay information to appropriate Practice team members.
· Place and document follow up calls to patients/families for missed appointments

Skills and Abilities:

· Skill in typing 40 wpm.
· Skill of persistence is needed when necessary.
· Ability to examine documents for accuracy and completeness.
· Ability to read, understand and follow oral and written instruction.
· Ability to communicate effectively and work with others.
· Knowledge of medical terminology
· Knowledge of grammar, spelling, and punctuation.
Knowledge:
Medical Terminology, Microsoft Office, Medent-preferred
Education and Experience:
Previous medical office experience with clear understanding of workflow and administrative support. Experience with Medent system strongly preferred
Physical Requirements:
· Ability to sit for extended periods of time.
· Manual dexterity for using an adding machine/calculator and computer keyboard.
· Ability to stoop and bend.
· Ability to read data on the computer monitor and written documents.
