Job Title: Quality Improvement Associate

FLSA Status: Exempt

Report to: Quality Improvement & Compliance Director

The Quality Improvement (QI) Associate is an integral part of the QI team ensuring that quality services provided to consumers are appropriately documented, securely stored, monitored and evaluated in accordance with regulatory standards. Under the supervision of the Director of Quality Improvement, the QI Associate supports planning, implementing, monitoring and evaluating QI initiatives and interventions. The QI Associate contributes to the design of QI measurement strategies and systems, provides QI guidance to staff & partners, and plays a key role in improving processes and outcomes across the agency. This role requires a keen eye for detail, analytical skills, technical acumen and the ability to collaborate with cross-functional teams to drive continuous improvement.


Schedule: Enjoy a flexible hybrid schedule! Work Monday to Friday, 8:30 AM to 5:00 PM, with the convenience of 3 days in the office per week, 2 days remote. This will be increased to 3 days remote after a successful 90-day probationary period. Our primary office is located in the vibrant heart of Washington, DC. You'll also have the opportunity for occasional travel to various locations within Washington, DC, and Montgomery County, MD, as needed. Please note, the schedule may occasionally vary based on business needs.

Key Responsibilities:Electronic Health Records (EHR) Management
  • Serve as an internal subject matter expert for the EHR system and provide technical assistance.
  • Monitor access to the agency's EHR, ensuring proper use, access and permissions for all staff.
  • Create/revise forms, optimize reporting capabilities, and promote system integrity.
  • Monitors system performance to determine the most efficient and effective means to operate.
  • Collaborate with cross-functional teams to design, document and implement process enhancements and new workflows as needed.
  • Acquire Credible EHR Administrator certification within 180 days of hire.
  • Obtain Credible Business Intelligence (BI) certification once key responsibilities are mastered.
  • Maintain proficiency in the use of supporting EHRs to support auditing and reporting.

Data Collection, Analysis & Reporting:
  • Work collaboratively with the Director of QI to design, review and analyze QI metrics to develop useable reports and dashboards
  • Manage tasks and calendars related to aggregating and presenting data for the purpose of measuring KPI’s across the organization
  • Proactively monitor and audit medical record documentation and quality metrics.
  • Track client episodes (deaths, hospitalizations, incarcerations, etc.).
  • Prepare QI reports and presentations to communicate findings and recommendations in meetings.
  • Support with conducting Client Satisfaction Surveys and quality assurance calls.

Performance Monitoring
  • Interpret, implement, and evaluate the adequacy of PTHDC’s QI standards and processes.
  • Collaborates with the Director of QI on review of QA/compliance issues to identify QI needs.
  • Supports Director of QI in making recommendations for programs to improve data quality and compliance with PTHDC program standards.
  • Supports the Director of QI with internal/external audits as needed

Training & Policy Updates
  • Assist in developing training resources/user manuals for use in staff onboarding and ongoing quality improvement/assurance.
  • Provide training to employees on various topics including proper use of electronic health records, note documentation, quality improvement & compliance best practices and more.
  • Assist with the development of documentation requirements for new and/or changing business processes.

Other duties as Assigned

Required Knowledge, Skills and Abilities
  • 1-3 years' experience in quality management, auditing and process improvement.
  • Experience with electronic health records administration, for a behavioral health environment
  • Experience with building business intelligence dashboards and/or complex reports preferred but not required.
  • Entry level (at minimum) knowledge of analyzing, interpreting and reporting data.
  • Ability to manage multiple projects and ask for help when needed.
  • Ability to participate on a team to accomplish tasks.
  • Ability to work with all stakeholders in a caring and respectful manner, and with due understanding of and consideration for cultural differences.
  • Strong customer service skills and the ability to analyze data to resolve issues.
  • Proficient in use of Microsoft Office Suite, including SharePoint.
  • A high moral compass and a champion of continuous quality improvement.
  • Ability to work independently and set priorities; capacity to maintain a helpful role.
  • Willingness to learn new skills and take on new challenges as department needs evolve.
  • Excellent communication and interpersonal skills.

Qualifications
  • Bachelor's degree in a relevant field (administration, healthcare management, IT). Associate's degree and/or High School Diploma are acceptable with relevant experience and/or specific job-related certifications.
  • Experience using Credible Behavioral Health EHR is a plus
  • Experience with DBH MHRS policies, Medicaid billing and industry best practices is a plus.
    • Experience with SQL, programming and coding a plus.

Salary : $50,000 - $60,000
