Job Summary:
The Administrative Specialist plays a key role in ensuring smooth front office operations and supporting the internal team. This position involves greeting clients, managing communications, handling clerical duties, maintaining records, and assisting staff with various administrative tasks in a professional and confidential environment.

Key Responsibilities:
- Greet clients and visitors professionally and direct them appropriately
- Answer, screen, and route incoming calls and emails
- Schedule and confirm appointments for staff and clients
- Handle incoming and outgoing mail and deliveries
- Organize, scan, and maintain digital and physical client files
- Support CPAs and team members with administrative tasks including document preparation, printing, and data entry
- Monitor office supply levels and re-order as necessary
- Maintain confidentiality and adhere to firm policies regarding sensitive client information
- Assist with assembly and delivery of tax returns and reports, especially during tax season

Qualifications:
- High school diploma or equivalent required; associate’s degree or administrative certification preferred
- 1–3 years of experience in an administrative, clerical, or office support role (experience in a CPA or financial services firm is a plus)
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Excellent interpersonal and communication skills
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and prioritize in a fast-paced environment
- Professional demeanor and a customer-focused attitude
- Ability to maintain confidentiality with sensitive financial and personal information

Working Conditions:
- Standard office hours, Monday through Friday
- Occasional overtime may be required during peak tax season (January–April)
- Office-based role requiring in-person presence
