The Administrative Assistant for the Rockdale County Chairwoman is a dynamic role that combines administrative support with strategic project management. Duties
Key Responsibilities
- Scheduling & Calendar Management:
- Coordinate and manage complex calendars, including meetings, appointments, and travel itineraries.
- Prioritize and ensure that the chair's and CEO's time is efficiently allocated.
- Communication Management:
- Screen and respond to emails, phone calls, and correspondence on behalf of the chair and CEO.
- Draft and proofread memos, reports, and public statements.
- Meeting Preparation & Coordination:
- Prepare meeting agendas, briefing materials, and coordinate follow-ups.
- Take and distribute minutes of meetings and track action items to completion.
- Documentation & Filing:
- Maintain and organize important files, records, and documents.
- Ensure that records comply with county policies and relevant regulations.
- Project Assistance:
- Provide support in project planning and management, especially initiatives led by the Chairwoman.
- Assist with research and preparation for policy development.
- Liaison Duties:
- Act as a point of contact between the Chairwoman and stakeholders, including public officials, staff, and community members.
- Foster strong relationships to enhance communication and collaboration.
- Event Coordination:
- Work with the Public Relations department to collaborate on the Chair's schedule for official events, press conferences, and community outreach efforts.
- Ensure logistical details align with the Chair's schedule.
- Confidentiality & Discretion:
- Handle sensitive information with the utmost confidentiality and professionalism.
- Maintain a high degree of trust as the primary support for leadership.
- Task Prioritization:
- Anticipate the needs of the Chair and COO, proactively handling any day-to-day issues.
- Efficiently prioritize tasks, especially during high-demand periods.
