Role Overview:
The Operations Manager plays a key leadership role in ensuring the dental practice runs smoothly, efficiently, and profitably. This person will be responsible for overseeing staff performance, maintaining a full and productive schedule, ensuring exceptional patient experiences, and fostering a positive and motivated work environment.
Key Responsibilities:
1. Staff Management & Leadership
- Recruit, hire, train, and onboard administrative and clinical staff
- Conduct regular staff meetings and performance reviews
- Create and maintain weekly/monthly staff schedules to ensure full coverage
- Motivate team members to meet individual and team goals
- Provide ongoing coaching, mentorship, and conflict resolution
2. Daily Operations & Workflow
- Oversee daily operations to ensure smooth patient flow and efficiency
- Monitor and improve operational processes and office systems
- Ensure treatment rooms, front desk, and communal areas are organized and well-maintained
- Maintain compliance with OSHA, HIPAA, and other industry regulations
3. Scheduling & Productivity
- Ensure the practice schedule is consistently full and optimized for production
- Monitor appointment booking systems and reduce no-shows/cancellations
- Collaborate with the front desk to ensure timely follow-ups and reactivations
4. Reporting & Analytics
- Run and analyze daily, weekly, and monthly production and collection reports
- Track office performance metrics and implement action plans for improvement
- Present updates to the practice owner
5. Patient Satisfaction & Retention
- Oversee the patient experience from check-in to follow-up
- Respond to and resolve patient concerns or complaints professionally
- Implement systems to ensure patient satisfaction and long-term retention
- Monitor reviews and feedback; ensure a high online reputation rating
6. Strategic Problem-Solving & Initiative
- Identify inefficiencies or bottlenecks and develop improvement strategies
- Anticipate issues before they arise and take proactive steps to address them
- Take ownership of the office’s success and continuously seek ways to grow the practice

- Proven experience in dental (minimum 2 years preferred)

Bonus Qualifications:
- Dental assisting or clinical background (a plus, not required)
