We are currently seeking a proactive and experienced Operations Manager to oversee and elevate our day-to-day operations.

Role Overview:

The Operations Manager plays a key leadership role in ensuring the dental practice runs smoothly, efficiently, and profitably. This person will be responsible for overseeing staff performance, maintaining a full and productive schedule, ensuring exceptional patient experiences, and fostering a positive and motivated work environment.

Key Responsibilities:

1. Staff Management & Leadership

  • Recruit, hire, train, and onboard administrative and clinical staff
  • Conduct regular staff meetings and performance reviews
  • Create and maintain weekly/monthly staff schedules to ensure full coverage
  • Motivate team members to meet individual and team goals
  • Provide ongoing coaching, mentorship, and conflict resolution

2. Daily Operations & Workflow

  • Oversee daily operations to ensure smooth patient flow and efficiency
  • Monitor and improve operational processes and office systems
  • Ensure treatment rooms, front desk, and communal areas are organized and well-maintained
  • Maintain compliance with OSHA, HIPAA, and other industry regulations

3. Scheduling & Productivity

  • Ensure the practice schedule is consistently full and optimized for production
  • Monitor appointment booking systems and reduce no-shows/cancellations
  • Collaborate with the front desk to ensure timely follow-ups and reactivations

4. Reporting & Analytics

  • Run and analyze daily, weekly, and monthly production and collection reports
  • Track office performance metrics and implement action plans for improvement
  • Present updates to the practice owner

5. Patient Satisfaction & Retention

  • Oversee the patient experience from check-in to follow-up
  • Respond to and resolve patient concerns or complaints professionally
  • Implement systems to ensure patient satisfaction and long-term retention
  • Monitor reviews and feedback; ensure a high online reputation rating

6. Strategic Problem-Solving & Initiative

  • Identify inefficiencies or bottlenecks and develop improvement strategies
  • Anticipate issues before they arise and take proactive steps to address them
  • Take ownership of the office’s success and continuously seek ways to grow the practice

What We’re Looking For:

  • Proven experience in dental (minimum 2 years preferred)
  • Strong leadership and people management skills
  • Excellent communication, conflict resolution, and organizational skills
  • Tech-savvy with practice management software
  • Ability to manage multiple priorities in a fast-paced environment
  • A problem-solver who thrives on taking initiative and leading by example
  • A collaborative mindset with a commitment to growth, for the team and the practice

Bonus Qualifications:

  • Dental assisting or clinical background (a plus, not required)
  • Familiarity with insurance verification, billing, and claims management
  • Marketing and patient outreach experience
