Peterson Cat has a need for a Warranty Administrator at our Hillsboro, OR location.
SUMMARY
This position is responsible for monitoring completed warranty work to ensure consistent compliance with warranty policy and procedure, established by Caterpillar and Peterson Machinery Company. Working under occasional supervision, plans and performs semi-routine duties requiring intensive knowledge of warranty policy and procedures as it applies to Earthmoving machines and our Allied products. Must exercise judgment in the analysis of facts and conditions, to determine actions to be taken within specifications of standard practice and manufacturer’s guidelines. Will provide guidance and support to all warranty writer positions.
ESSENTIAL JOB FUNCTIONS
- Assist, lead, and conduct audits of the warranty process.
Serve as oversight to claim settlement process to ensure maximum recovery.
Assist with audits conducted by manufacturers to ensure conformance with warranty guidelines and policies.
Monitor, and assist to correct, all claim status’ to ensure proper transaction according to time allowances of the warranty guidelines.
- Serves as liaison to:
Caterpillar warranty supervisors and analysts for problem resolutions.
- Communications:
Interpret and define all warranty changes and updates.
Provide guidance toward company policy in the administration of warranty and goodwill.
- Maintain high level of integrity in making warranty decisions and in the processing of warranty claims.
- Keen attention to details in reviewing work order data.
- Ability to read and comprehend OEM/Allied & Caterpillar process/rules for filing claims and be professional in communications with internal customers and as you perform duties as liaison between Peterson, OEM/Allied and Caterpillar.
- Ability to assist on an as-needed basis in the processing of claims and answering questions.
- Assist Service Department Managers with requests and authorization process of goodwills.
- Use the OEM/Allied and Caterpillar systems to determine if an engine or machine is eligible for warranty.
- Compare and determine how much time to claim to warranty using time requirement guidelines and previously filed claims.
- Communicate via phone or email with the service departments or Peterson technical communicators for additional help breaking down the labor or understanding the repair process.
- Review returned claims and respond to Caterpillar in timely manner.
- Utilize excel spreadsheet provided by Peterson to track warranty and service department progress to reach company goals.
- Perform any additional tasks as assigned by supervisor or manager.
- Research and maintain warranty status, history, and customer information to ensure accuracy; update Sims in Cat Web as needed.
- Retrieve relevant diagnostic data from Cat ET files and attach them to CatWeb Sims History on all electrical/electronic claims. Review these download for accuracy of data, dates and fault codes for before and after repairs.
- Maintain punctual, regular, and predictable attendance.
- Other duties may be assigned.
EDUCATION and/or EXPERIENCE
- High school diploma or GED required, Associates Degree from a fully accredited college in a related field preferred
- Minimum of 2 years of administrative experience, preferably in a heavy industrial environment; or an equivalent combination of education and work experience.
- Previous warranty experience is a plus.
