The Sales Coordinator is the primary liaison between Sales, Manufacturing, Purchasing and the customer. This position is responsible for receiving, processing and following orders through to receipt of the product by the satisfied customer. The Sales Coordinator also manages customer inventory requirements, returns and adjustments regarding pricing and order errors, and is kept informed on product costing and sales quotations.
Duties and Responsibilities:
- Answer inbound customer calls, handle requests (fax & email), order processing, inquiries, complaints
- Enter order data relating to customer requirements and the implementation of those specifications
- Update templates and customer relationship management software
- Forecast inventory of stocked products; monitor production schedule
- Interact with multiple departments to ensure timely handling of customer orders; prioritize orders as needed
- Assist in assembly of mailings to customers; samples and trade show promotions
- Assist answering customer calls through back up of multi line phone system
- Track and measure on-time delivery; work closely with warehouse and shipping teams
- Quality Management System adherence
- Deliver sales presentation to key clients via phone and web
- Identify continual improvement opportunities
- Assist in implementing new and updated procedures
- Secure sales orders that meet the company objectives of volume and profitability
- Enter order data via computer in business system; work closely with warehouse to maintain on-time delivery
- Follow company policies and standard operating procedures; attend company meetings as needed
- Create and distribute internal reports (ie Open Orders Report); archive monthly files/reports
- Deliver good news to customers outbound communication and request salesperson to deliver bad news
- Issue Return Authorizations and Requests for Debit/Credits
- Other projects and duties as assigned by Management
Knowledge and Skills Preferred:
- Associate degree; Bachelor preferred
- 5 years of customer service experience
- Effective communication skills; verbal & written
- Service oriented approach to problem solving
- Excel skills: program formulas, graph numeric data
- Analytical, mathematical, or other quantitative skills
- Accurate data entry and keyboarding skills
- Task & detail orientation
- Microsoft Office Suite proficiency
- Ability to read production schedules
- Capable of handling pressure and stressful situations
- Contact management software experience
- Positive, professional and team skills
