What are the responsibilities and job description for the Trust Assistant position at Pioneer Bank & Trust?
Summary:
This position will be a combination of assisting trust administration and operations. Every member of the PB&T Trust Team must be willing to provide leadership, support, and fill in where and when needed.
Trust Administration Essential Duties & Responsibilities:
- Incoming Mail and interoffice envelopes: open, review, and sort.
- Outgoing Mail – fill postage meter, apply postage, take postage to post office daily.
- Ensure interoffice items are sent to the branches each day
- Call on medical bills/insurance/other follow-up with other professionals and customers
- Prepare correspondence
- Set up new files, keep existing files up to date and neatly organized putting as much as possible in the electronic Trust Docs file.
- Complete various forms from brokers, insurance companies, and others
- Work with CPAs and attorneys to gather information or provide information as needed.
- Go to client homes to obtain signatures
- Become familiar with and strictly adhere to safekeeping and dual control procedures
- Use Excel, Word, and Outlook extensively as well as Adobe. Participate in online training and other opportunities to learn the trust accounting software (Maui from InfoVisa)
- Process trust bills for payment by individual accounts
- Work with Trust Officers and Assistants in regard to items needed for accounts and questions
- Work with auditors and examiners as questions arise
- Keep file comments up to date in a professional manner.
- Backup for Trust Officers with customers
- Return calls
- Gather and relay information
- Monitor bank balances
- Help prepare for meetings including updating agendas and assisting with account reviews as needed
- Coordinate all parts of professional teleconferences
- Sign up for the teleconference
- Invite local professionals
- Set up for the conference including food and drink
- Clean up afterward
- Follow up on any questions or if someone has questions about credits for continuing ed
Qualifications:
- Intermediate level computer skills and Microsoft Office experience
- Strong communication and customer service skills
- Attention to detail
- Adaptable
Education/Experience:
- High School Diploma or Equivalent
