In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, the Talent Acquisition Coordinator is primarily responsible for coordinating all non-management recruitment and orientation activities (for both union and non-union openings).  The Talent Acquisition Coordinator will perform job functions in adherence to PPCWNY policies and procedures, as well as in compliance with governing local, state, and federal regulations.  A successful Talent Acquisition Coordinator will strive to help the organization build a diverse workforce, comprised qualified individuals, who have demonstrated share values and a commitment to serving the mission of PPCWNY.   The Talent Acquisition Coordinator will also assist the Human Resources (HR) department, with operations, such as Human Resource Information System (HRIS) administration and report generation, as well as actively participates in HR initiatives and assists with projects, as needed, to best serve the employees of PPCWNY. Essential Functions
  • Facilitates the recruitment and selection process for all non-management positions, as well as provides administrative and operational support for management openings, under the direction of manager and department director.  These activities include: 
  • Reviews the Pre-Requisition Assessment and Requisition for completion and proper signatures, as well as asks clarifying questions, as needed; 
  • Posts the openings, in accordance with PPCWNY policies and procedures, and collaborates with hiring managers to ensure post is reaching a diverse audience; 
  • Reviews resumes and applications for qualifications; 
  • Screens qualified applicants to identify potential job candidates; 
  • Sends most qualified candidates to hiring manager and hiring team to be interviewed; 
  • Provides hiring team with tools for asking questions and documenting feedback, as well as gives guidance on next steps when candidate is selected for hire; 
  • Conducts background and reference checks; 
  • Collaborates with HR leadership to provide information needed for compensation review; 
  • Negotiates the offer, utilizes templates to write the letters, sends new hire packet, and facilitates the onboarding process.  
  • Utilizes recruiting strategies that are recognized as best practices (based on industry standards) and fully utilizes the applicant tracking system for recruiting activities (including documenting and reporting applicant workflow).  
  • Collaborates with manager and Director of Diversity, Inclusion, and Equity, to continuously develop and use diverse applicant sourcing strategies. 
  • Maintains recruitment activity tracking databases and generates reports, as well as makes recommendations on how to increase efficiencies.  
  • Creates New Personnel folders for each new hire. 
  • Effectively communicates recruiting, sourcing, and hiring updates to HR colleagues, hiring managers, and key stakeholders. 
  • Facilitates legally defensible interviewing and selection practices, as well as helps communicate what those are to those participating on various hiring teams. 
  • Ensures all pre-employment actions including background checks, employment verifications, exclusion checks, and professional references are completed.  
  • Ensures pre-employment requirements are met, including, but not limited to: communicating, collecting, documenting, and tracking all health assessment and vaccination requirements, upon hire.   
  • Initiates and facilitates preliminary communications with onboarding clinicians and the credentialing department, to ensure they begin collaborating toward securing credentials / licensures required for the role. 
  • Co-facilitates New Employee Orientation and coordinates new hire orientation meetings including, but not limited to scheduling presenters, booking a meeting space, ensuring new hire packets are updated and available on day of orientation, and coordinating meals. 
  • Displays a thorough understanding of collective bargaining agreements (CBA), in order to provide new hires with accurate benefit and PTO information (in accordance with their CBA), as well as advise employees and managers on the hiring processes requirements, outlined by the union, employment laws, and/or by PPCWNY’s policies, and procedures. 
  • Assist with daily HR operations, such as file maintenance, employment verifications, and triaging HR requests. 
  • Provides back-up for credentialing process for all providers by submitting Medversant ARMS (professional liability/malpractice insurance) applications following PPFA guidelines. 
  • Provides backup support to ensure timely receipt of licenses, certifications, and training documents from all licensed staff; track and obtain new documents upon expiration 
  • Participates in credentialing team meetings to ensure there is effective communication on the status of malpractice and credentialing. 

OTHER ACCOUNTABILITY ACTIVITIES 

  • Supports the HR strategic plan. 
  • Participates in administrative staff meetings and attends other meetings and seminars as requested. 
  • Participates in developing department goals, objectives and systems. 
  • Supports and participates in affiliate initiatives. 
  • Performs other duties as assigned by HR department leadership.

Requirements

 Qualifications 

Education and Experience - Applicants must possess the following qualifications or an equivalent combination of education and experience: 

  • Education - Associate’s degree in business administration, human resources, communications, or related field or an equivalent combination of experience and education 
  • Eligible to be certified as a PHR or SHRM-CP or existing certification a plus. 
  • Experience - Minimum two (2) years of experience in hiring and interviewing, preferably in a human resources department, with one (1) year of experience in recruiting for healthcare and/or social service environment. Experience with Human Resource Information Systems (HRIS), including Applicant Tracking System (ATS) required; experience with Paylocity a plus.

  • Ability to recognize transferable skills and how they may qualify an individual for a position. 
  • Demonstrated ability to exercise sound judgment and decision-making capabilities. 
  • Ability to communicate effectively, including ability to seek clarification, providing clarification, communicating next steps, and confirming plans were followed through to completion.  
  • Ability to independently compose email communications, offer letters, and draft documents that are clear, concise, and follow business grammar/formatting standards. 
  • Ability to establish and maintain strong relationships and work collaboratively with and through others at all levels in an organization. 
  • Ability to manage multiple responsibilities and prioritize. 
  • Strong organizational skills with high attention to detail required. 
  • Skillful at navigating difficult conversations, while maintaining respectful composure and remaining solution-focused. 
  • Proficiency in Microsoft Word, Excel, PowerPoint required; intermediate skill level or above preferred. 
Work ScheduleThis is a full-time, 40 hour a week, position; regular schedule will be Monday - Friday
