Position Overview – Medical Secretary
As the Medical Secretary, you will serve as the front-line representative of our practice—greeting patients with warmth and professionalism while ensuring that all administrative and scheduling processes run smoothly. This role requires a high level of discretion, excellent communication skills, and the ability to multi-task in a fast-paced clinical environment. You will work closely with patients, providers, and fellow staff members to ensure our practice functions with excellence and empathy.
Key Responsibilities
- Warmly greet callers and patients; serve as a courteous and helpful first point of contact.
- Manage inbound calls, responding within three to four rings, and handle sensitive medical information with sound judgment.
- Accurately schedule patient appointments using eCW, matching provider availability to patient preferences and clinical guidelines.
- Thoroughly add and update patient demographics and insurance information during scheduling and check-in.
- Confirm, cancel, or reschedule appointments as requested by patients or providers.
- Regularly update the scheduling system to ensure patient records are current and reliable.
- Communicate effectively with providers, staff, and management regarding patient concerns or system issues.
- Support inter-office communication, including faxing records and fulfilling documentation requests.
- Respond to patient inquiries and concerns calmly and efficiently using customer service principles.
- Support daily clerical tasks as assigned by the office manager.
- Travel to other clinic locations as needed.
Performance RequirementsKnowledge
- Knowledge of medical practice protocols related to scheduling appointments and inputting patient demographics.
- Knowledge of EMR medical systems.
- Knowledge of medical terminology.
- Knowledge of grammar, spelling, and punctuation for general correspondence within patients’ charts.
- Knowledge of customer service, principles, and techniques.
