TITLE:

Assistant Office Manager

 

POSITION SUMMARY:

To assist in day-to-day operations, planning, and organization, maintaining efficient systems and processes, and interacting with parents and the community, in order to support high quality and efficient running of the department. Dedicated to ensuring that families, returning and new, have the information they need for a successful start of school.

CERTIFICATES, LICENSES, REGISTRATIONS:

An Associate's or Bachelor's Degree from an accredited college or university is preferred.

TRAINING AND EXPERIENCE:

Candidates who are fluent in Spanish and/or Portuguese are preferred.

Demonstrated knowledge of computer use and appropriate applications, including MS Office and databases. Knowledge of Excel, Microsoft Office, and X2 preferred. Ability to work with diverse population. Exceptional accuracy and attention to detail. Excellent organizational skills and demonstrated ability to carry out procedures involving multiple components and people. Demonstrated ability to communicate effectively, verbally and in writing. Strong ability to maintain confidential information. Flexible, timely, ability to multitask, and comfortable working in a fast-paced environment. Diplomacy, and a warm customer service approach. Ability to work as part of a team. Such alternatives to the above qualifications as the Framingham School Department may find appropriate and acceptable.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

The essential functions or duties listed below are intended only as an illustration of the various types of work that may be performed.  The omission of specific statements of duties does not exclude them from the position if work is similar, related or a logical assignment to the position.

  • Assist with the registration process for all new students.
  • Assist families with yearly transportation sign-up, including resetting of the password(s) and the filling out of application form(s).
  • Process bus payments and print bus passes for eligible students.
  • Answer and appropriately direct telephone calls from parents, community, and School and City interdepartmental personnel.
  • Greet and appropriately direct parents, employees, and any other individuals who may visit the office.
  • File/mail/scan paperwork and monitor the Parent info email box.
  • Enter pre-registration forms into the X2 system.
  • Assemble registration folders.
  • Schedule appointments and perform reminder calls to families.
  • Review all files for accuracy and completeness.
  • Assign a school and assist in the lottery process.
  • Create waiting lists.
  • Create and execute mail merge assignment letters.
  • Prepare cumulative files and assignment lists.
  • Assist families with Gateway online registration application.
  • Assist families to complete Free & Reduced lunch forms.
  • Assist with coordination of transportation procedures with the Directors of Transportation and Parent Information Center.
  • Assist school administrative support with questions about X2 system.
  • Track elementary student withdrawals.
  • Track Bilingual and Special Education Programs exit and/or transitions.
  • Assist with compliance with the McKinney-Vento Homeless Education Act.
  • Assist with communications to homeless families of their McKinney-Vento rights at registration.
  • Assist with the arrangement of transportation for students who require transportation to and from temporary residences to the school of origin under McKinney-Vento.
  • Assist in maintenance of the database of McKinney-Vento students.
  • Assist in arranging transportation for McKinney-Vento students who move within Framingham during the school year.

Assume additional responsibilities as directed by the Director.

 

PHYSICAL WORKING CONDITIONS:

Employees work in an office with moderate noise levels (such as computers and printers) and controlled temperature conditions. The position requires frequent sitting, standing, walking, and to reach with hands and arms occasionally. Ability to talk and to hear continuously. Ability to lift up to 20 pounds periodically. Finger dexterity is required continuously for the normal work shift, such as for typing, filing, dialing the phone, etc. Some travel between schools may be necessary, so the ability to operate a motor vehicle and maintain a valid Driver’s license is required.

 

REPORTS TO:  

Principal

The performance of this job will be evaluated as per the Framingham Teachers Association Secretaries (Unit S) Contract.

 

SUPERVISORY RESPONSIBILITIES:

Not Applicable.

 

FAIR LABOR STANDARDS ACT (FLSA) CLASSIFICATION:

This position is classified as non-exempt (Hourly).

 

TERMS OF EMPLOYMENT:

Covered under the Secretarial Contract (Unit S).

This is a twelve-month position.

Salary : $43,347 - $58,402
