Powerstone Property Management, a fast-growing community association (HOA) management company in Orange County is seeking a full time front office Administrative Assistant at its satellite office in Anaheim. Job Description & Qualifications:
This position will provide the following front office and administrative support to Community Association Managers and the communities they manage:
- Issuing work orders, violation letters, and drafting correspondence.
- Prepare and administer association mailings.
- Assist with property inspection reports and follow-up action items.
- Assist with architectural plan processing and applications if needed,
- Handle customer service calls and office visits from homeowners and vendors.
- Maintain any events calendar and provide facility keys/fobs for designated communities.
- Receives the public and answers questions in person and by phone.
- Retrieve and direct voice mail messages daily.
- Open and process incoming mail daily.
- Operate office machines as needed including copiers, printers and postage machine.
- Log incoming deliveries and ensure pick-ups from front desk.
- Prepares outgoing mail for daily courier service.
- Order office supplies.
- Assist with mailings and special projects.
- Perform other clerical duties and tasks as assigned.
Requirements:
- AA Degree and/or High School degree and between 1-3 years of related experience, or equivalent combination of education and experience. HOA industry knowledge a plus.
- Excellent written, verbal and interpersonal skills.
- Strong customer service skills coupled with problem solving/analytical skills.
- Must be organized, detail oriented and able to multi-task in a fast pace environment.
- Ability to manage priorities and workflow and meet all deadlines.
- Proficient in Microsoft Word.
- Ability to work independently with minimal supervision.
- Ability to work flexible hours if requested on occasion.
Pay
- The starting pay range for this position is $19-20/hour, however, base pay offered may vary depending on job-related knowledge, skills, and experience.
