Powerstone Property Management, a fast-growing community association (HOA) management company in Orange County is seeking a full time front office Administrative Assistant at its satellite office in Anaheim. Job Description & Qualifications:

This position will provide the following front office and administrative support to Community Association Managers and the communities they manage:

  • Issuing work orders, violation letters, and drafting correspondence.
  • Prepare and administer association mailings.
  • Assist with property inspection reports and follow-up action items.
  • Assist with architectural plan processing and applications if needed,
  • Handle customer service calls and office visits from homeowners and vendors.
  • Maintain any events calendar and provide facility keys/fobs for designated communities.
  • Receives the public and answers questions in person and by phone.
  • Retrieve and direct voice mail messages daily.
  • Open and process incoming mail daily.
  • Operate office machines as needed including copiers, printers and postage machine.
  • Log incoming deliveries and ensure pick-ups from front desk.
  • Prepares outgoing mail for daily courier service.
  • Order office supplies.
  • Assist with mailings and special projects.
  • Perform other clerical duties and tasks as assigned.

Requirements:

  • AA Degree and/or High School degree and between 1-3 years of related experience, or equivalent combination of education and experience. HOA industry knowledge a plus.
  • Excellent written, verbal and interpersonal skills.
  • Strong customer service skills coupled with problem solving/analytical skills.
  • Must be organized, detail oriented and able to multi-task in a fast pace environment.
  • Ability to manage priorities and workflow and meet all deadlines.
  • Proficient in Microsoft Word.
  • Ability to work independently with minimal supervision.
  • Ability to work flexible hours if requested on occasion.

Pay

  • The starting pay range for this position is $19-20/hour, however, base pay offered may vary depending on job-related knowledge, skills, and experience.
