Position Summary: As Executive Assistant, this individual supports the CEO and upper management, performing high level administrative functions, including correspondence, organization, presentation/ document preparation, reporting, and minor project management to support the CEO and their vision. They maintain a high level of confidentiality and prioritize information flow. The Executive Assistant understands the CEO and Leaderships Team’s values/ philosophy, and the priorities of the company.
Activities, Duties, and Responsibilities:
- Provides administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on behalf of the C-Suite.
- Records and distributes detailed minutes for leadership team and other meetings as requested.
- Schedules meetings and accepts meeting invitations based on common understanding of priorities and time allocation.
- Organizes specialized meetings (e.g., PRC-Saltillo board meetings, leadership team meetings, partner/ vendor meetings), including scheduling, sending reminders, and organizing catering/ hosting as necessary.
- Organizes preparations and presentations for company meetings based on leadership team guidance.
- Coordinates and executes company newsletters, following the guidance provided by the leadership team.
- Provides project management support to the C-suite as needed for confidential projects.
- Works with the C-suite to prioritize/ reprioritize schedules based on company needs.
- Contacts, or responds to contacts from, individuals with varied business and professional relationships in a manner consistent with company vision and priorities.
- Notes commitments during meetings and arrange for staff implementation.
- Prepares executive presentations as required, with care and diligence, ensuring no language errors.
- Coordinates and distributes financial reports, related to the budget process and statistical records of performance data, as requested.
- Coordinates travel arrangements and manages expense information as needed.
- Perform other duties as assigned.
Education and Experience:
- High school diploma or equivalent is required.
- Two years’ experience in an administrative role with significant responsibility and customer contact (e.g. executive assistant, office manager, customer service).
Knowledge, Skills, and Abilities:
- Excellent verbal and written communication skills, including excellent typing skills.
- Resourcefulness, tact, and the ability to negotiate, influence, persuade, and obtain approval through communication.
- Intermediate-advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and MS Teams.
- Ability to act with integrity, professionalism, and confidentiality.
- A self-starter with ability to work well and solve problems under minimal supervision.
- Excellent interpersonal skills and ability to collaborate with people at all levels of the organization.
- Strong organizational skills, which include organization of systems and processes.
- Flexible and able to adjust to rapidly changing circumstances.
