Role Overview:

As an Office Administrator at Precon Marine Inc, you will be responsible for data entry and reporting of all equipment for effective maintenance, repair programs, and equipment utilization on company job sites. In this role, you’ll collaborate closely with the operations team to oversee the tool, equipment, and inventory tracking system. Whether you work on-site, you’ll have the opportunity to contribute to the efficient functioning of the company's operations.

Key Responsibilities:

  • Prepares purchase orders for rental equipment, tracks each piece of rented equipment by job site and job number. Notifies Accounting and HR when a piece of equipment is rented from an outside vendor.
  • Maintains equipment data base, ensuring all work orders, fleet repairs and preventive maintenance is being done. Distributes preventive maintenance needs to the Shop Manager weekly.
  • Able to utilize the data base to its fullest potential by entering all of the appropriate data and able to use the system to produce reports that the management team can use to see current inventory, evaluate utilization, indirect cost and equipment value and depreciation.
  • Monitors and tracks equipment on a daily basis by job site, type and usage.
  • Issues purchase orders in accordance with company policy and accounting system.
  • Provides management with a monthly budget analysis of rentals and repairs.
  • Register new equipment and vehicles at DMV (if necessary), and complete a new equipment form for file and distribution to Accounting and HR. Also notifies Accounting and HR prior to when a piece of equipment is sold or rented and keeps records of those transactions.
  • Completes a monthly vehicle valuation report that includes year, condition, mileage and approximate book value and sends it to the equipment manager.
  • Responds to emergency equipment needs at the direction of the Equipment Manager, Shop Manager or President.
  • Monitor and keep current all crane certifications, OSHA compliance issues and vehicle inspections.

This position is Full-Time, Monday through Friday.
