Summary of Position
Under the general and direct supervision of the Director of Operations; the Office Manager is responsible for the day-to-day operation of the unit, independently and with minimum supervision. Maximizing patient satisfaction is the Office Manager's primary objective.
Responsibilities:
- Ensures all patients are checked in and patient's charts are flagged for pick up by the Medical Assistants Takes notice of any patient remaining in the waiting room for more than 15 minutes. The reason for the delay is determined and explained to the patient.
- Reviews appointment schedule to ensure that appointments are scheduled appropriately.
- Ensures that complete and accurate information is provided to the billing department for the timely processing of bills.
- Ensures that messages are relayed to the physicians in a timely manner. Ensures that lab results are directed to the appropriate physician in a timely manner.
- Responsible for managing referrals and pre-certs, when necessary. Ensures phones are answered promptly and in a professional manner.
- Ensures an adequate supply of clinical and office supplies.
- Serves as a liaison between unit and senior administration for the purpose of assessing operational concerns, implementing policies and procedures, maintaining appropriate staffing levels, etc.
- Maintains log of daily patient visit statistics. Maintains patient satisfaction.
- Handles patient complaints: informs physician or Practice Administrator when problems are not rectified.
- Maintains patient confidentiality.
- Consistently courteous and considerate in person and on the telephone, in interactions with patients and their families and ensures that the front desk staff follows the same rules.
- Listens, acknowledges, and responds to the patients' issues and problems. Demonstrates the desire to help resolve the situation.
- Handles the invoices and bills and promptly submits them to billing for payment.
- Observes All About Woman Ocala's rules, policies, and regulations with regard to the following: attendance and punctuality, courtesy and respect for co-workers, attitude, and appearance.
- Be familiar with all job functions performed by the front desk and assist as necessary.
