Description
The Medical Office Manager is a leadership position that focuses on managing operations of the medical practice while ensuring the practice provides uninterrupted service to patients. This involves a multifaceted approach; from procuring medical equipment to hiring and training staff to scheduling appointments to communicating with outside offices and keeping records on patient interactions.
Essential Responsibilities
- Responsible for the daily operations of the clinic to include the provision of quality services to patients, the promotion of teamwork among the staff, maintenance of the building and equipment, compliance with all applicable policies and procedures and operating within the approved budget.
- Maintains smooth, efficient flow of administrative operations, ensuring patients are served efficiently and effectively.
- Handles office supply and medical supply maintenance as well as office equipment maintenance.
- Ensures cost-effective use of practice resources regarding supplies, equipment, and employee time, in providing cost effective and top-quality patient care.
- Coordinates and directs the daily operations of the clinic including the development, implementation, and maintenance of department policies and procedures.
- Interprets, implements, and educates employees on all practice policies and procedures, as well as hospital policies and procedures.
- Identifies problems and needs by daily rounds and recommends operational changes to improve efficiency and effectiveness.
- Maintains medical records that are legible, accurate, accessible, and confidential.
- Establishes and maintains appropriate measures to ensure the safety and security of employees, facilities, and equipment.
- Gathers and reports when needed financial and operational data for fiscal, statistical, and planning purposes.
- Monitors staffing levels in relationship to workload and adjusts as appropriate.
- Develops staff through training, performance management, and accountability.
- Prepares time approvals for bi-weekly payroll processing by HR and Payroll
- Assists staff in developing goals and objectives for individual professional growth and demonstrates effective leadership techniques to enhance productivity and employee morale.
- Ensures problems, complaints, and regulatory violations are investigated and appropriate action is taken to resolve the issue within the requested time frame.
- Meets regularly with the employee and physician staff to solicit their input and inform them of practice issues.
- Manages registration, insurance verification and charge capture.
- Consults with the Billing Department to review accounts receivable, edits, rejections, charge corrections and other factors influencing collections.
- Takes corrective action in the practice to improve collections and ensure financial stability.
- Develops and ensures appropriate internal controls including cash management and control.
- Answers patient inquiries and promptly follows-up on all complaints, taking corrective action as required.
- Participates in the preparation of the annual capital and operational budgets and maintains expenses within the approved budget.
- Points out financial strengths, explains variances to budget, highlights areas of concern, and recommends and implements corrective action as necessary.

Required Education and Experience:
- High school diploma or equivalent.
- Medical Assistant certification in good standing - preferred.
- At least 2 years lead tech role, or managerial and or leadership experience and 3 years of technical experience preferred.
Salary : $39,200 - $49,700
