Role Overview
The Client Service Associate plays a vital role in supporting advisors by managing client service operations and ensuring that our client relationships are handled with care, efficiency, and professionalism. As one of the first associates with whom clients connect, the Client Service Associate is instrumental in providing a positive experience that exceeds expectations. Key Responsibilities
Duties include but are not limited to:
- Client and Advisor Support: Provide comprehensive support throughout all stages of planning, including preparation, updating, delivery, and implementation of financial plans based on clients' evolving financial situations.
- Client Experience: Partner with advisors to deliver an exceptional client experience, focusing on accuracy, timeliness, and accountability. Develop client strategies with specific recommendations tailored to each client.
- Scheduling and Coordination: Manage calendars, coordinate client and internal meetings, and track new business and client opportunities. Facilitate seamless onboarding for new clients, including document preparation and system entry.
- Task and Meeting Management: Input and assign tasks aligned with client needs and internal workflows. Prepare agendas and materials for recurring planning and review meetings.
- Communication and Call Management: Monitor shared inboxes for urgent matters and ensure timely responses. Serve as the first point of contact for incoming client calls with warmth and professionalism.
- Client Relationship Building: Build and maintain relationships aimed at client retention. Manage new client implementation and coordinate activities with team members. Maintain client files and compile quarterly asset values for billing and fees.
Qualifications
- 3 years of experience in a client service, operations, or relationship support role.
- Experience in wealth management, RIA, brokerage, or financial services.
- Experience supporting multiple advisors or client relationships.
- Strong working knowledge of custodial platforms (Schwab, Fidelity, Pershing), advisory account types, and CRM and digital workflow systems.
- Exceptional attention to detail and follow-through
- Strong written and verbal communication skills.
