POSITION DESCRIPTION

JOB TITLE: Program Support Specialist
UNIT/DEPARTMENT: National Center for Training, Support and Technical Assistance (NCTSTA)
REPORTS TO: Director or designee
FLSA Status: Exempt
LOCATION: Elizabeth, New Jersey

FUNCTION/POSITION SUMMARY:

The Program Support Specialist provides overall administrative support to the NCTSTA capacity-building team in fulfilling its mission of providing individuals and organizations with the competencies and tools needed to plan, integrate, implement, and sustain comprehensive health related programs and services through responsive and timely training and technical assistance. The Program Support Specialist works closely with the CBA Managers to maximize the use of technology and software to enhance NCTSTA’s technical assistance and distance learning capacity and expand overall marketing efforts, including social media and brand presence.

The Program Support Specialist is the lead resource person for NCTSTA and often serves as a first point of contact for client organizations and individuals seeking information and resources. This individual performs high-level office support duties and performs a wide range of administrative duties including conducting research, preparing correspondence, formatting presentations, managing databases, handling information requests, planning conferences and meetings (virtual and/or in-person), providing purchasing support, making travel arrangements, and maintaining calendars and schedules.

PRIMARY DUTIES/RESPONSIBILITIES:

1. Provide programmatic support to NCTSTA’s Distance Learning Programs.

  • Become competent in the use and operation of NCTSTA’s distance learning (i.e. Zoom) and video conferencing platforms and software.
  • Provide expert guidance, technical support (including troubleshooting), and training to NCTSTA staff and consultants on the use of distance learning technologies.
  • Collaborate with NCTSTA’s learning team to plan and execute webinars, video teleconferences, technical assistance sessions, self-paced learning courses, and other multi-media projects.
  • Help establish and implement quality assurance checks for distance learning activities.
  • Assist with marketing activities to promote NCTSTA’s distance learning and in-person offerings.
  • Maintain knowledge of distance learning technologies and advances in field of distance learning through research, practice and participation in trainings offered.

2. Coordinate program-related meetings and public relations activities for the NCTSTA

  • Coordinate meetings for the Advisory groups affiliated with NCTSTA projects.
  • Maintain advisory group listservs; schedule mailings to members on NCTSTA updates and/or relevant health equity and public health literature.
  • Provide support to staff in planning and executing program-related activities, including but not limited to: logistics, printing, documentation formatting, preparation of materials and supplies, development and/or review of PowerPoint presentations.
  • Represent PROCEED NCTSTA at regional and national meetings, conferences etc., as appropriate.
  • Coordinate exhibitor activity for PROCEED NCTSTA at local, regional, and national events.

3. Create and post weekly content across multiple social media platforms.

  • Create relevant, innovative, and engaging posts and videos on various health and human services topics for distribution through NCTSTA’s social media sites, web-based platforms and websites.
  • Research, develop, and post content within established production timelines for social media and web-based marketing efforts across platforms.
  • Manage online comments and conversation threads adhering to agency social media protocols.
  • Analyze, report and use NCTSTA’s social media and web-based platform metrics to gauge growth and reach.
  • Assist in the development of brand awareness for NCTSTA projects, products, and services.

4. Manage NCTSTAs electronic filing system and various databases.

  • Responsible for the upkeep, maintenance, and quality assurance of NCTSTA’s electronic filing system and databases.
  • Manage NCTSTA’s national core consultant database and listserv; schedule mailings to consultants on relevant public health literature.
  • Maintain updated consultant information as per NCTSTA’s requirements and protocols for practice.

4. Adhere to the program philosophy, approaches, policies, and practices of PROCEED NCTSTA.

  • Learn about PROCEED’s mission, vision, and guiding principles and diverse programs and services.
  • Comply with PROCEED’s confidentiality policy, both internally and with external client organizations.
  • Comply with the staff policies and procedures outlined in the staff handbook.
  • Maintain ongoing professional development and current knowledge on trends in distance learning, public health, program development, health equity, and other related subjects.
  • Participate in staff development training and meetings.

5. Other

  • Manage special projects and perform other duties as assigned by the Director or designee to support the mission, goals, and objectives of NCTSTA.

Qualifications:

  • Bachelor’s Degree plus a minimum of two years of experience in office management or program coordination.
  • Experience in the use of distance learning technologies and online learning platforms.
  • Knowledge of database development and maintenance.
  • Knowledge of Windows, Excel, and word processing software/ Internet literacy required.
  • Excellent oral and written communication skills.

Additional Requirements:

  • Valid U.S. Driver’s License
  • Bilingual - English/Spanish preferred.
  • Must demonstrate a strong commitment to teamwork.
  • Must be able to work under pressure, handling several projects with minimal supervision
  • Travel throughout the United States, Puerto Rico and the US Virgin Islands, including weekends and evenings (estimated 20% of the time).

SALARY:

  • $36,000 through $40,000, commensurate with education and experience.
