Job Summary:
Prosper Women's Health PLLC is a growing OBGYN clinic serving the McKinney, Prosper and Frisco TX area. We are seeking a highly motivated and compassionate individual to join our dedicated team. This position involves managing patient appointments, coordinating care, triaging patient concerns, and serving as a bridge between patients and healthcare providers. The ideal candidate will be able to juggle administrative and clinical responsibilities, show initiative, and work effectively under pressure. The selected individual will report directly to the physician and contribute to creating a warm, welcoming environment for all patients.
Responsibilities:
Patient Coordination and Scheduling:
- Appointment Management: Schedule and confirm patient appointments, follow-ups, and procedures. Manage appointment cancellations and rescheduling.
Patient Communication:
- Primary Point of Contact:
- Greet patients and visitors in a friendly and professional manner
- Serve as the main contact for patients regarding appointments, procedures, and general information
- Triage patient telephone calls and in-office questions related to medical concerns, following established protocols, escalating urgent matters ensuring issues are addressed promptly
- Patient Education:
- Provide clear instructions for patients and ensure they understand their care
Clinical Support:
- Clinical Duties: Prepare patients for examinations or procedures by collecting vital signs, medical history, and chief complaints, assisting physicians with procedures, and performing in-office laboratory tests, including preparing specimens for the laboratory
- Record Management: Document patient interactions, medical history, vital signs, and medications in the Electronic Health Record (EHR) system, ensuring timely and accurate entry
Team Collaboration:
- Collaborate with physicians, nurses, and administrative staff to coordinate patient care, participate in team meetings, and contribute to improving office operations and patient satisfaction
Delivery Coordination:
- New Deliveries: Manage any new deliveries, including receiving and properly storing supplies or materials
Inventory & Supplies:
- Check Stock: Routinely monitor and restock medical and office supplies
- Supply Ordering: Track needed items and input them into the purchase cart for physician review and final ordering
- Disposal Coordination: Coordinate monthly sharps disposal with the appropriate waste management service.
Reps and Feedback:
- Rep Coordination: Coordinate with pharmaceutical and device reps, including scheduling visits with the physician
- Patient Feedback List: Maintain and organize patient feedback, concerns, or complaints for review and quality improvement
Quality Assurance:
- Ensure exam rooms and medical instruments are sanitized and stocked according to office protocols, and monitor patient feedback to contribute to quality improvement efforts
Qualifications and Skills:
- 3 years of OBGYN experience
- High school diploma or equivalent required
- Graduate of an accredited medical assisting program, or prior experience working in a medical office or healthcare setting is a plus
- Compassionate, patient-centered approach
- Professional and discreet handling of sensitive patient information
- Excellent verbal, written communication, typing, and documentation skills
- Familiarity with Electronic Health Record (EHR) systems
- Familiarity with medical terminology and procedures
- Proficient in using phone systems and office equipment
- Strong organizational skills with the ability to prioritize tasks effectively
- Ability to maintain professionalism and composure in stressful situations, such as handling emergency room calls or upset patients
- Knowledge of HIPAA regulations and commitment to maintaining patient privacy
- Able to quickly learn new systems and technologies
Job Types: Full-time, Contract
Pay: $17.00 - $20.00 per hour
