Job Overview:
Providence Classical School is a private school in Rock Hill, SC. We are classical, Christian, and traditional. Our school meets 4 days a week (Tuesday–Friday) from mid-August to mid-May. The teacher work day begins at 7:30 am and ends at 3:45 pm. The REGISTRAR and OFFICE ASSISTANT works to support the vision and mission of Providence Classical School. This vital role serves the administration, faculty, parents and students through ownership of the FACTS database, managing K-12 student records and assisting in office duties. Duties:
- Create a positive, engaging, Christ-centered learning environment.
- Communicate effectively with co-workers and parents/guardians.
- Maintain an organized office environment.
- Own and manage FACTS database including SIS, Giving, Grant & Aid and other FACTS modules.
- Ensure accurate records, data and reporting in FACTS.
- Process necessary physical and computerized records and transcripts for current students, new students, withdrawn students and graduates.
- Train faculty and staff on FACTS.
- Monitor and manage the office email.
- Assist the Admissions Director in preparing and reviewing application and enrollment forms in FACTS.
- Maintain records and forms including attendance, report cards, class rosters, schedules, and student approval forms (student drivers, cell phones, laptops, approved pick-up and medical forms).
- Manage class and schedule information, including creating class rosters, entering teacher and student schedules into FACTS and Excel, distributing schedules to teachers/parents/students, assigning lockers, managing student birthday list.
- Assist Office Manager with back-to-school operations including creating and distributing grade-level supply lists, carline tags, and classroom signage.
- Manage parent engagement programs including parent volunteer sign-up, grade-level GroupMe chats, Teacher
- Appreciation Committee, and lunch/recess volunteers.
- Coordinate carline.
- Oversee hot lunch program.
- Compose and send FACTS communications such as Weekly Update, Parent Alerts, and other emails.
- Create and distribute trimester report cards. Assist Principal in analysis of report cards.
- Coordinate and manage standardized testing.
- Assist Principal with end-of-year teacher checkout process.
- Assist Principal in coordinating required student work and summer tutoring, as well as school-year tutoring.
- Assist Director of Advancement with office tasks as needed.
- Assist with special projects and duties as determined by the Principal and Head of School.
Requirements & Experience:
- Bachelor's degree preferred.
- Experience working with a database, especially FACTS is preferred.
- Strong interpersonal skills to effectively communicate with students, parents, and staff members.
Work Schedule
- School Work Days: Tuesday – Friday (35 Weeks, 7:15am – 3:45pm)
- Other Work Days: Summer schedule as determined with Head of School
- Other Events: Staff Meetings, Parent Orientation, Supply Drop-off, Christmas Program, Graduation/Closing
