What are the responsibilities and job description for the Accountant position at PSS?

For over 50 years PSS has performed vital and important work -- through its 10 centers, two apartment buildings and affiliated programs, the agency touches the lives of over 1,000 people a day. As the Accountant, you will be responsible for a variety of purchasing, payroll, and reporting functions associated with the operations of PSS. The Accountant's role is vital in ensuring effective financial and administrative operations of all PSS programs to allow our programs to serve our members as effectively as possible. Payroll experience a must.


Responsibilities:

Operational:

  • Process purchase orders for all programs including supplies, food and equipment.
  • Request services needed for the programs.
  • Assist program directors with the food inventory,
  • Manage and update the purchase order spreadsheet.
  • Reconcile investment accounts monthly and send the reports with the bank statements to the Finance Committee.
  • Prepare reports for the annual audit.
  • Assist Senior Director of Finance with the annual budget.
  • Prepare and send monthly budgets to the program directors.
  • Prepare monthly bank reconciliations for PSS operational account.
  • Monitor bank accounts frequently for extraordinary items.
  • Process ACH payments as requested.
  • Enter processed checks into the bank Positive Pay system.
  • Enter the monthly DFTA vouchers into HSS Accelerator.
  • Responsible for the general ledgers of assigned Fund(s); preparation of all journal entries; recording of annual and adjusting journal entries resulting from the annual audit.
  • Analyze general ledger account monthly and investigate variances.
  • Assist with month-end close including preparing various balance sheet reconciliations, journal entries, and gathering support to facilitate the close process.
  • Assist with the preparation of the monthly and annual financial statements: trial balance, profit and loss, balance sheet and other supplemental schedules.
  • Process all wire bank transfers.
  • Assist in the collection, consolidation, and maintenance of data necessary to meet reporting and evaluation requirements.
  • Upload necessary documents into HSS Accelerator, Passport and Grant Gateway.

 

Payroll:

  • Collect, enter data, review time sheets and process payroll on a biweekly basis for approximately 75 employees.
  • Track PTO (Paid Time Off) as it relates to accurate benefit and payroll records.
  • Maintain accurate employee personnel files including new hires, terminations, transfers and employee status changes.
  • Monitor liens and garnishments.
  • Respond to unemployment and employment verification requests.
  • Respond to auditing/regulator inquiries as it relates to payroll audit and compliance providing information/documentation for audit requests.
  • Provide timely, high-quality customer service to our employees with respect to their compensation concerns, including time off, retirement and benefit deductions.
  • Supports HR by performing all transactional duties in relation to administering medical, dental, pre-tax deductions, 403B and life benefits and maintaining all employee records.


General:

  • Assist Senior Director of Finance and perform other related duties as assigned.
  • Supervise two accounting staff members.


Qualifications:

  • Bachelor's degree in Accounting and a minimum of five years’ experience in non-profit accounting preferred
  • Must be able to manage multiple assignments, set priorities and meet deadlines.
  • Knowledge of not-for-profit fund accounting software, Quickbooks a plus
  • Possess strong knowledge of federal, state and local payroll and tax laws responding to any tax notices/inquiries.
  • Strong analytical skills; attention to detail with excellent interpersonal skills.
  • Excellent verbal and written communication skills
  • Highly organized and detailed orientated
  • Proven ability to maintain confidentiality.
