Responsibilities:
- JIRA Management: Understand the Jira process, including best practices, capturing key reporting and query field values, and tracking status for features, stories, tasks, and issues using manual queries and reports.
- Documentation and Business Requirements Writing: Participate in key requirement discussions, document key decisions, action items, and requirements, and convert meeting notes into relevant requirement documentation. Create simple flowcharts based on discussions around operational or system processing requirements.
- Meeting Agenda Management: Collaborate with product leads and subject matter experts to create detailed meeting agendas, facilitate discussions, and ensure objectives are met. Work ahead of meetings to gather updates and materials from resources.
- Meeting Minutes: Accurately transcribe detailed meeting minutes, capturing key discussions, decisions, and action items. Ensure minutes are documented and distributed promptly.
- Task Follow-Up: Actively follow up with task owners to ensure timely progress and completion of assigned tasks. Identify and escalate blockers to appropriate stakeholders.
- Reporting: Maintain detailed PowerPoint and Excel reports on task progress, initiative status, and key milestones for both task-level and initiative-level tracking.
- Knowledge Base Management: Maintain a centralized repository of questions, decisions, and recurring topics for easy reference and continuity. Regularly update and curate the knowledge base to ensure relevance and accuracy.
- MS Office Expertise: Demonstrate higher-than-intermediate expertise in Excel, Word, and PowerPoint.
Qualifications:
- Essential Skills:
- Proven ability to facilitate meetings and create comprehensive and detailed meeting minutes.
- Proficiency in PowerPoint and attention to detail for maintaining clear and professional presentation materials.
- Strong task management and organizational skills.
- Excellent follow-up capabilities to ensure task owners meet deadlines.
- Proficiency in reporting and effective communication skills to liaise with stakeholders at all levels.
- Preferred Experience:
- Experience in project management, coordination, or similar roles is beneficial but not required.
- Familiarity with tools like JIRA, Confluence, or SharePoint is a plus.
- Prior experience in a financial services environment is advantageous but not mandatory.
- Years of Experience: Not a determining factor; demonstrated capability in the above areas is the key criterion.
