Job Description: Operations Specialist

The Operations Specialist is a professional that assists with administrative, customer service and production-related tasks to support the shops in overall efficiency. The position reports to the State Vice President and responsibilities include addressing issues and concerns, troubleshooting, creating solutions and implementing processes that have been established by the company.

Compensation: Pay Range up to $100,000 annually based on experience, $500 per month car allowance, $50 per month cell phone allowance, fuel reimbursement. Company issued laptop provided.

Job Duties/Responsibilities:

  • Administrative support: payroll processing, assessing personnel issues and needs, scheduling and administering training, running reports and data.
  • Be an active part of solutions by monitoring the accuracy and efficiency of reports and materials supplied to the shops and any other intelligence essential to the overall success of the company.
  • Work to develop an energetic, enthusiastic work team that is proud to deliver a consistent repair service experience that exceeds customers’ requirements.
  • Support in management of overall DRP compliance and ensure key performance metrics are met and achieved each month. Assist with training courses if needed and coach team members to reach goals and improve efficiency.
  • Support in recruiting and hiring of new team members for the region as required and engage in recurrent training to ensure team members are developed to potential.
  • Promote safe, clean working conditions, review the safety record of the locations, solicit feedback, and help set policy regarding safety issues and environmental compliance.
  • Production Support: analyze daily go lists and WIP to ensure efficiency at the centers.
  • Process Implementation: assist at the centers to implement processes and systems to ensure smooth transitions and correct daily utilization.
  • Coordination with Departments: work closely with IT, Finance and HR to integrate processes and procedures at the shops.
  • Performance Monitoring: analyze CCC files and performance data, identify issues or concerns, recommend improvements.
  • Inventory Management: responsible for reviewing paint, repair, office supplies for proper stock levels and ordering procedure.
  • Vendor Communication: work with suppliers and vendors for the needs of the shops.
  • Continuous Process Improvement: Identify and mitigate risks, monitor processes, and enhance efficiency at shop visits.

Key Performance Metrics:

  • Administrative Excellence for weekly payroll processing for the assigned region.
  • Ensure profitability with Gross Profit of 45% or higher when reviewing files.
  • Assist shops to maintain $0 accounts receivable over 31 days.
  • Ability to identify solutions to improve Customer Service Index Scores for the shops in the region.
  • Assist with processes for Cycle Time efficiency meeting less than the state average.

Skills/Qualifications:

  • I-CAR certification is preferred.
  • Proficient in Excel reporting and spreadsheets.
  • Proficient with both Mitchell and CCC estimating systems, ERAC and DRP management systems.
  • Demonstrates excellent verbal and written communication abilities.
  • Interacts effectively with co-workers, customers, vendor, and insurance representatives.
  • Applies organizational skills to maintain consistency, and efficiency.
  • Adheres to the company’s non-disclosure and confidentiality policies concerning customer information and maintains trust of team members in all interactions.

Requirements: 80% Territory Travel Weekly, Valid Driver’s License
