Job Description:
Job Requirements:
- Manage scheduling, calendars, and classified meetings, ensuring adherence to security protocols.
- Work directly with the Chief for Security Enterprise & Innovation regarding stakeholder engagement and communications.
- Coordinate the preparation and handling of unclassified and classified documents, following federal and DoD security regulations.
- Support document tracking and coordination for declassification reviews, including FOIA and Mandatory Declassification Review processes.
- Draft and edit executive-level correspondence, reports, and briefings for leadership and external stakeholders.
- Maintain secure filing systems and information governance to ensure compliance with classification policies and precise organization of important materials.
- Facilitate communication between project teams, leadership, and external agencies, ensuring timely and accurate information flow.
- Implement and monitor security measures for classified areas, including access control and clearance protocols.
- Track project deliverables, deadlines, and metrics to ensure project timelines and objectives are met.
- Provide logistical support for meetings, events, and project-related activities, ensuring smooth operational management.
- Identify and resolve potential operational issues related to project planning and on-schedule execution.
- Ensure compliance with clearance requirements and assist with problem-solving efforts related to operations as necessary.
Job Requirements:
Education:
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related field preferred.
Professional Experience:
- Minimum of 3 years of experience in an administrative or executive support role, ideally in a federal or DoD environment.
- Experience working with classified information or in a high-security setting preferred.
- Experience with information management, declassification processes, or document management systems in a secure environment is preferred.
Industry Knowledge:
- Familiarity with federal and DoD information security regulations and protocols (e.g., classification, declassification, FOIA, and records management).
- Knowledge of handling and tracking classified documents, with an understanding of lifecycle management for sensitive information, is preferred.
Skills:
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills for drafting reports, correspondence, and presentations.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and secure communication tools.
- Ability to handle sensitive and classified information appropriately and follow strict security protocols.
- Strong problem-solving abilities and attention to detail, particularly in high-pressure, confidential environments.
- Capable of managing multiple tasks simultaneously in a fast-paced environment.
Certifications:
- Top Secret (TS) Security Clearance is required, with SCI eligibility preferred (can begin with Secret clearance).
