Job Summary:
We are looking for a smart, kind, and driven professional with industry experience to join our rapidly growing, top producing Development team. The Pay Draw Manager is responsible for overseeing and managing the monthly construction draw process for development projects. This position ensures timely and accurate preparation, submission, and reconciliation of contractor and vendor pay applications in compliance with project budgets, lender requirements, and contractual agreements. The Pay Draw Manager serves as the liaison between the construction team, finance, lenders, and third-party inspectors.
Essential Duties and Responsibilities:
- Works in collaboration with Development Team members and all other company departments in a team environment.
- Coordination & management of approved pay draws and releases of liens
- Manages construction pay draws, submission to finance & communication with internal team & construction manager throughout construction process
- Collect project financial documentation & maintain accurate and compliant files for all projects managed by partner developer group(s).
- Collect and manage project closeout documentation. Manage close out documentation process post Certificate of Occupancy.
- Work with Accounting & Finance team in coordinating same.
- Assist Construction Team with additional tasks as needed.
Experience/Skills:
- Coordinate the monthly construction draw process, including collection, review, and submission of contractor and vendor invoices.
- Ensure all pay applications are compliant with contract terms and releases of liens.
- Work with construction managers and project accountants to verify work completion, change orders, and budget-to-actual tracking.
- Prepare and submit draw packages to lenders, ensuring all backup documentation, lien waivers, and affidavits are included.
- Track and manage project cash flow related to construction pay applications.
- Communicate with lenders and third-party inspectors to schedule site inspections and address any discrepancies.
- Maintain accurate and up-to-date records of all pay draw documentation.
- Assist with project closeout procedures, ensuring final lien releases and documentation are in place.
- Collaborate with accounting and finance teams for payment processing and audit support.
- Monitor compliance with statutory requirements and internal controls related to construction payments. Performs other duties as assigned.
Qualifications:
- Bachelor's degree in Construction Management, Finance, Accounting, or related field preferred.
- 3 years of experience in construction pay draws, project accounting, or construction finance.
- Familiarity with construction contracts, lien laws, and draw request procedures.
- Strong knowledge of Microsoft Excel and construction management software (e.g., Procore, AIA forms, Sage, or similar).
- Detail-oriented with excellent organizational and communication skills.
- Ability to manage multiple projects and meet deadlines.
Preferred Qualifications:
- Experience working with retail brands, real estate developers or general contractors.
- Understanding of lender compliance requirements and third-party inspections.
- Knowledge of AIA billing forms (G702/G703).
- If you are tasked to drive as a part of this role, then it is required that you have a clean driving record and a current Driver's License that is not suspended or expired.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
