GENERAL SUMMARY OF DUTIES: Greet guests, manage incoming phone calls and distribute mail as needed for the corporate office.
ESSENTIAL FUNCTIONS:
- Receive visitors at the front desk by greeting, welcoming, directing them appropriately.
- Answer incoming phone calls in a professional and timely manner.
- Transfer phone calls efficiently or take detailed messages when necessary.
- Use discretion and professionalism when transferring calls and taking messages.
- Receive, sort, and distribute daily mail/deliverables.
- Ensure the reception area, kitchen, and conference room are tidy and presentable.
- Order front office supplies and keep inventory of stock.
- Perform other clerical receptionist duties such as filing, photocopying, and faxing.
- Maintains strictest confidentiality in accordance with HIPAA and patient privacy standards.
- Assists other staff as requested.
The job holder must demonstrate a professional demeanor on all phone calls as they are a direct representation of Radiology Associates.
EDUCATION: High school diploma or equivalent.
EXPERIENCE: Proven work experience as a receptionist, front office representative, or similar role within a medical office/imaging environment is desirable but not essential. Proven customer service skills with a pleasant personality.
KNOWLEDGE AND SKILLS:
- Excellent phone skills with ability to multi-task
- Professional attitude and appearance
- Basic typing
- Experience with MS Office Suite (Word, Excel, Outlook, Teams etc.)
- Hands-on experience with office equipment (fax machines, printers, etc.)
- Customer service attitude
ABILITIES:
- Ability to solve problems and show initiative
- Ability to communicate effectively verbally and in writing
- Ability to work with a sense of urgency
- Ability to be resourceful and proactive when issues arise
PHYSICAL/MENTAL DEMANDS: Requires sitting, standing, speaking on the phone and normal associated activities with a normal medical office environment.
ENVIRONMENTAL/WORKING CONDITIONS: Work is performed in a busy medical office environment. Position will involve frequent contact with staff and the public.
