JOB DESCRIPTION


POSITION:  ICW Reception and Assistant   LTE


LOCATION:  Red Cliff Indian Child Welfare Office


WAGE:  $17 up to 30 hours/week 


SUPERVISOR:  Indian Child Welfare Director


THIS IS A LIMITED TERM NON-EXEMPT POSITION.  APPLICANTS WILL BE SELECTED FROM THE INFORMATION SUPPLIED ON APPLICATION FORM ONLY.  THERE WILL BE NO INTERVIEWS.  


JOB SUMMARY: Primary responsibility is to answer telephone, route calls and take messages for all programs within the Indian Child Welfare Department (ICW), provide Resource and Referral assistance and guidance; assist with initial client intakes; provide Clerical Assistance and Office duties for the Indian Child Welfare Department.

DUTIES AND RESPONSIBILITIES:

  1. Performs ICW support and data entry duties.
  1. Gathering data collected from all ICW programs.
  2. Data collection maintenance.
  1. Maintain an adequate inventory of office supplies and materials for program use, including ordering and completing needed requisitions for office supplies as needed.
  2. Answer telephones, route calls to appropriate staff, take messages.
  3. Complete intakes over the phone or in person.
  4. Assist with phone intakes and initial contacts.
  5. Provide Resource and Referral assistance to clients/community members.
  6. Receive in-coming mail and distribute to staff.
  7. Confirm Tribal eligibility of ICWA referrals and mail out notifications as appropriate.
  8. Update workers master lists.
  9. Maintain confidentially. 
  10. Participate in other collaborative service meetings as assigned by ICW Director.
  11. Assist in the planning and coordinating of community outreach events organized by the ICW Program as assigned by the ICW Director.
  12. Attend and participate in community outreach events as assigned by ICW Director.
  13. Clean, neat and professional appearance required.
  14. The above duties and responsibilities are not an all-inclusive list but rather a general representation of the duties and responsibilities associated with this position.  The duties and responsibilities will be subject to change based on organizational needs and/or deemed necessary by the supervisor



KNOWLEDGE: Must have knowledge with data entry, computers, secretarial duties, office machines and telephone skills


SUPERVISORY AUTHORITY:   None


QUALIFICATIONS:

  1. Minimum of High School Diploma or HSED, required.
  2. Minimum of 1 (one) year office experience in a secretarial type position, Preferred.
  3. Working knowledge of computers and computer software and other office machines.
  4. Ability to maintain accurate and complete records.
  5. Ability to follow written and oral instructions and carry through procedures as specified.
  6. Ability to maintain effective and positive working relationship with the public.
  7. Ability to maintain confidentiality of information.
  8. Ability to be self-motivated and flexible.
  9. Must have a valid driver’s license and maintain driver’s eligibility as a condition of employment.  Must be eligible to be put on the tribe’s vehicle insurance policy.    

PERSONAL CONTACTS: Daily contact will be made with the ICW Director, Tribal staff, clients, state and local officials on an as needed basis.


PHYSICAL REQUIREMENTS: Must be able to life at least 20 pounds. There will be some bending, lifting and reaching in overhead storage, but mostly sedentary work.


WORK ENVIRONMENT:  All Tribal Buildings are smoke free.


TRAVEL REQUIREMENTS:  The ability to travel and attend meetings and trainings; overnight and out of town, both locally & nationally.

Indian preference will be applied in the case of equally qualified applicants, but all qualified applicants will be considered.
