The historic Red Lion Inn 1704 in Cohasset is seeking an experienced Producer to join our events team. We are offering ocmpetitive base pay plus commission.

  • As is typical in the hospitality industry, this position requires regular availability to work evening, weekend, and holiday shifts, as well as shifts of more than 8 hours and workweeks of more than 40 hours.

This role is responsible for planning, coordinating, and executing weddings and special events from initial inquiry through event day, ensuring an exceptional guest experience and seamless operations.

  • Oversees arrangements with clients for booked functions, including tastings, menu planning, design meetings, timelines, final reviews, and rehearsals.
  • Keeps client file up to date and in order per company standards. All relevant paperwork and checklists are in place.
  • Acts as point of contact from contract to the event date.
  • Oversees and personally directs all phases and aspects of customer needs once the sale is made, such as the coordination of catering, room set, selection, and flow, and other needs as required by the customer. Discusses and negotiates special requests with clients.
  • Prepares all BEO’s, Beverage Sheets, Rental orders, Vendor Quotes and makes all necessary administrative adjustments as planning.
  • Schedule and confirm tastings for all clients. Provide undivided attention to all client needs.
  • Prepare floor plans and review with clients and internal setup staff.
  • Collect and manage all incoming table-by-table breakdowns and drop-off items.
  • Communicate all details to teams and Event Managers.
  • Supervise event set up – ensure all linens are accounted for and any outside rentals are in place as guest requested.
  • Works as the event designer, providing specialty services or upgraded items for clients.
  • Works with vendors to ensure the lowest bid with the highest quality of service and products. Seeks advice from Operations on bids as needed for events needing this service. Makes suggestions of outside services upon request.
  • Greets client prior to the onset of the event, is present throughout the event to address additional requests to ensure that all details are carried out according to the client’s specifications.
  • Manages and oversees the wedding coordinator for all assigned weddings.
  • Manages all communication with the Inn for logistics, timelines and prepares requested forms timely, and attends meetings weekly specific to events as needed.
  • Attends event post-mortems with Operations and Kitchen to discuss and then address event preparation issues, resource needs, post-event complaints, and/or staff performance issues.
  • Maintain all Building relationships and transfer of information to the appropriate departments.

· Day of Event

  • Supervise Room set up. Walk space with Event Manager and Operations.
  • Work with operations to assure Bridal Suite is ready (if a wedding), guests and vendors are greeted properly, and have the coordinator available for any needs as they are on the property
  • Troubleshoot issues to a smooth resolution
  • Attend all pre-meal meetings to ensure all details are covered and communicated on the client's behalf
  • Assure all Vendor management and setup is supervised, and they have answers to all their questions.
  • Walk thru event space during event checking in with client assuring a smooth event. Be available for questions and act as a liaison for a successful event.

· Post Event Follow up

  • Write a summary of the event including client comments, suggestions of areas to improve, menu notes, bar service observations.
  • Complete staff evaluation notes for future reference.
  • Make sure all managers are aware of any items to be picked up or held for pick up.
  • Greet the client post-event at the time of pick up. Ensure the houseman is available for assistance if needed.
  • Compose and send thank you notes and analyze any potential other business this client may be associated with.
  • As necessary and requested complete any duties needed to ensure achieving the mission of The Red Lion Inn.

Job Types: Full-time, Part-time

Pay: $80,000.00 - $110,000.00 per year
