Job Title: Administrative Assistant (Entrepreneurial Emphasis)

POSITION SUMMARY
Currently looking for an Administrative Assistant interested in a position with an emphasis on entrepreneurial work. The administrative assistant will be responsible for executing a variety of day-to-day tasks for the company, Executive Assistant and CEO. This will include tasks for a variety of entities primarily centering around agriculture. This role will encompass duties including but not limited to managing administrative aspects of agricultural enterprises, real estate properties, and an aviation operation (previous experience in regards to specific activities mentioned is not required). This position requires being able to roll with change easily and have a willing attitude. It is crucial that applicants are detail oriented, hard working, and driven to solve problems and get results. This individual must be proactive and have excellent communication skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
- Work closely with other administrative staff and support other colleagues as needed
- Complete daily assigned tasks for the company in support of organizational strategy and objectives; implement and execute policies and practices
- Ensures that deadlines are met and adapts to changing priorities
- Fleet management including insurance, registration, selling and purchasing
- Keep insurance policies current and accurate
- Mail management
- Conduct research, compile and summarize information as requested
- Input and update information in databases and spreadsheets
- Manage physical and digital filing systems
- Support organizational objectives by helping track duties and assignments
- Facilitate communications on a regular basis to help coworkers keep up to date on various projects
- Welcome and assist visitors
- Maintain office supply inventory
- Organize weekly staff meetings
- Help make travel arrangements as assigned
- Coordinate logistics for on-and off-site meetings, including room setup and catering
- Assist the Director and CEO with calendar management, scheduling meetings and processing emails
- Provide remote support for various employees and managers with miscellaneous tasks as needed
- Run errands as assigned, sometimes include personal errands
- Assist with bookkeeping functions
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Bachelor’s degree in business, marketing or a related discipline preferred
- Demonstrated ability to get results
- Ability to organize and manage multiple priorities
- Proficient at identifying and solving problems
- Must work effectively with mid & senior-level executives and staff; must also be able to work independently
- Must have strong interpersonal skills and good judgment. Must be capable of communicating with a diverse range of individuals
- Excellent computer skills including all Google Workspace, Microsoft Office, and Dropbox applications required
- Must have strong managerial support orientation, demonstrated professional demeanor, and the ability to maintain confidential information
