Position Overview:
The Office Assistant will support daily operations by providing administrative support to the team. This role requires strong communication and organizational skills and the ability to prioritize multiple tasks efficiently. As the Office Assistant, you will be a key point of contact for staff, clients, and external partners.
Key Responsibilities:
- Office Operations: Assist with daily office tasks such as handling phone calls, emails, and mail. Ensure the office is organized and fully stocked with supplies.
- Scheduling and Calendar Management: Support staff by scheduling appointments, managing calendars, and coordinating meetings.
- Records Management: Organize and maintain both physical and digital files, ensuring client information and office records are secure and confidential.
- Request Authorizations: Assist with processing, tracking, and monitoring authorizations for treatment services, ensuring accurate documentation and timely submissions.
- Client Support: Greet clients and visitors professionally, provide information about services, and assist with necessary paperwork.
- Onboarding and Orientation: Assist with the onboarding process for new employees, helping to orient them to office procedures and policies.
- Communication and Correspondence: Serve as a point of contact for internal and external communications. Ensure messages are properly relayed and followed up on.
- Office Maintenance: Coordinate repairs and IT support as needed. Maintain neatness in common office areas, such as the reception and meeting rooms.
- Administrative Support: Provide clerical support to management, including preparing reports, data entry, and filing. Support special projects as needed.
- Billing Support: Assist with billing tasks, including processing invoices, tracking payments, and ensuring accurate documentation for services.
- Compliance and Policy Adherence: Ensure adherence to company policies, industry standards, and state regulations. Maintain knowledge of office protocols and ensure they are consistently followed.
- Other Duties as Assigned: Take on additional tasks as necessary to contribute to the overall efficiency of the office.
Qualifications:
- High school diploma or equivalent required (Associate’s degree preferred)
- 1-2 years of office administration or assistant experience preferred
- Experience in a healthcare or behavioral health setting is a plus
- Strong organizational skills with attention to detail
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to manage sensitive and confidential information professionally
- Strong multitasking and time management abilities
- Experience with requesting authorizations for treatment services is a plus
- Ability to work both independently and as part of a team
