Job Description: Administrative Assistant
Job Summary: The Administrative Assistant will manage the day to day administrative responsibilities needed to facilitate the company.
Minimum Qualifications:
· Associate’s Degree in Business Administration or related field (preferred or experience).
· Three years of experience (Preferred)
· A valid driver’s license and personal automobile, acceptable driving record and personal automobile insurance.
· Successful State Criminal and Child Registry Background Check
· Required Training by the DBHDS
· Current TB screening and Physical
· CPR/First Aid and Medication Management
Knowledge of:
· Proficiency in Outlook, Word, Excel, Access, PowerPoint
· Excellent interpersonal and written and oral communication skills
· Ability to prioritize and multi-task as well as problem solve and decision making skills
· Strong attention to detail and organizational skills are essential
· Excellent problem analysis and problem solving skills
· Understanding of individuals with intellectual/developmental disabilities and mental health
Duties and Responsibilities:
· Schedule appointments, and maintain and update supervisors' daily calendar
· Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
· Maintain confidentiality of highly sensitive information
· Manage complex office administrative work requiring the use of independent judgment and initiative
· Clerical support including mailing, scanning, faxing, and copying to management
· Maintains office cleanliness to include taking out trash and maintain office supplies
· Complete initial referral for intake of potential client
· Audit charts and report chart status to Clinical Supervisor and or Director
· Checking in mail and mail distribution
· Scheduling interviews for potential employees
· Maintaining, filing & creating personnel folders/binders
· Data entry, creating and maintaining spreadsheets & training schedules
· Attends meetings and records minutes, as required
· Receive and interact with incoming visitors and office staff
· Contributes to team effort by accomplishing related results as needed.
· Any assignments assigned by Directors
Job Type: Full-time
Pay: $27,040.00 - $29,120.00 per year
