Residence is seeking a full-time PAYROLL & HR SPECIALIST to join our fast-growing HR team in Los Angeles. Reporting to the Executive Director of Human Resources, the Payroll & HR Specialist will support HR and payroll across all company locations. This role plays a key part in benefits administration, payroll coordination, HR compliance, onboarding, and employee support, while delivering a high level of service in a dynamic, creative environment.
Key Responsibilities
Benefits Administration:
- Assist with the administration of all employee benefits and welfare programs, including enrollments, changes, and terminations.
- Reconcile benefits statements and vendor invoices.
- Support 401(k) audits in partnership with Finance and external providers
- Manage PTO tracking and requests for both hourly and salaried employees
- Notify new hires of eligibility for the company’s 401(k) program
- Coordinate with the Payroll Manager to ensure timely processing of payroll updates, including new hires, terminations, and compensation changes.
- Maintain accurate payroll-related data within HRIS and payroll systems.
- Assist with domestic state registrations and ongoing compliance filings.
- Run and review payroll reports on a bi-weekly and monthly basis as needed.
- Maintain adherence to timekeeping procedures and accurate record-keeping.
- Maintain state-by-state HR compliance documentation, ensuring accuracy and audit readiness.
- Track and support the implementation of changes in federal, state, and local employment laws
- Conduct Form I-9 verification and ensure compliance with employment eligibility requirements
- Support HR reporting and compliance audits as required
- Coordinate and conduct onboarding for new hires, including documentation, system setup, and orientation support.
- Ensure all employee records are complete, accurate, and up to date in HRIS and payroll systems
- Support employee status changes, promotions, transfers, and terminations
- Serve as a first point of contact for employee questions and requests via the HR inbox.
- Assist with employee relations matters and documentation
- Support workplace injury reporting and related processes
- Prepare HR correspondence and documentation as requested
- Maintain confidential employee files and records
- Perform additional HR administrative and operational duties as assigned
- Bachelor’s degree in Human Resources or a related field, or equivalent professional experience
- Minimum of three (3) years of relevant HR and Payroll experience
- Strong understanding of HR compliance requirements, including multi-state employment regulations.
- Excellent verbal and written communication skills
- Strong organizational skills with high attention to detail
- Ability to maintain confidentiality and handle sensitive information professionally
- Excellent time-management skills with the ability to meet deadlines
- Ability to thrive in a fast-paced, evolving environment
- Proficiency with Google Workspace, Microsoft Office Suite, and ADP Workforce Now
