Position Summary:

The Department Administrator in the Department of Linguistics implements and administers the vision, strategy, and goals of the department. The position administers and coordinates the daily operations of the department. Functional responsibilities include program administration, research administration, financial management, human resources, compliance, and communications/outreach. In addition, the Department Administrator will be managing all newly developed Masters programs, research centers, and consortiums for the department. The Department Administrator also provides guidance to faculty on administrative operations and university policies. 

Ideal Candidate Statement:

The Department Administrator of Linguistics would ideally have experience working in higher education and have advanced financial management and department administration experience 

Workplace Requirements

Hybrid position: After a probationary period, this position is offered as a hybrid role, combining both in-office and remote work to provide flexibility and support collaboration. The department currently allows 2 remote days per week. Per Rice policy 440, work arrangements may be subject to change.

Hiring Range: This position is benefits-eligible, exempt, and has an expected minimum salary of $65,000 (dependent on experience and qualifications).

*Exempt (salaried) positions under FLSA are not eligible for overtime. 

Minimum Requirements: 

  • Bachelor’s degree
  • 3 years in a similar administrative role 
    • In lieu of the education/experience requirement, additional related education and/or experience, above and beyond what is required, may be substituted on an equivalent year-for-year basis.

  • Advanced knowledge of Microsoft Office suite, especially Excel

  • Adept at problem solving, creating contingency plans and handling issues when necessary
  • Strong client service orientation and attention to detail
  • Ability to develop complex or multiple program partnerships and funding sources
  • Knowledge of managing budgets and developing financial plans

Preferences:

  • Rice University work experience or experience in any higher education environment strongly desired
  • Experience working with Rice IO or Oracle Cloud ERP and HCM Systems

Essential Functions:

  • Develops, implements, administers, and evaluates programs by conducting research activities within the program, analyzing data, creating reports, reviewing trends, and making program improvement recommendations
  • Develops and implements strategies and plans related to outreach, events, communications, development, partnerships and fundraising / funding
  • Creates short term and long-term plans to achieve mission and objectives for the department and programs
  • Devises and manages financial and budgetary plans for the department and programs, approves and monitors expenditures
  • For academic department/programs, will be responsible for undergraduate programs and professional masters programs, including graduate student recruitment and admissions, student records, curriculum support, coordinating the accreditation process, managing scholarships and fellowships, and monitoring student progress
  • Provides post-award research administration
  • May supervise small staff (up to three full time staff)
  • Performs all other duties as assigned

Additional Functions

  • Manages day-to-day operations of the department
  • Administers department functions, including research administration, budget / finance, program administration, human resources, communications / outreach, events and compliance
  • Under general direction of the Chair is responsible for budget planning and management: creating budget plans, monitoring and approving, expenditures, developing reports, conducting analyses and managing and maintaining financial records
  • Administers research centers and consortiums, including budgeting, tracking expenses, and event management
  • Manages the human resource function for the department for staff; coordinates the visa process for international faculty, staff and students; coordinates faculty searches and the promotion and tenure process
