Rios Partners is looking for an Internal Operations Associate to support the executive team and provide additional support to human resources and the business services team. This role encompasses core executive assistant duties including inbox management, note-taking, action item tracking, event planning support, calendar coordination, and booking travel. There is also office management and Human Resources (HR) support. The dynamic nature of this role requires that the candidate has exemplary time management skills and the ability to identify and anticipate needs. The ideal candidate is upbeat and positive, loves playing the support role, and is willing to pitch in where needed. This person will report to the Chief of Staff and will have ample exposure to the leadership of the company.
Primary Responsibilities
- Manage the executive teams calendar, including making appointments, prioritizing the most sensitive matters, and deconflicting any conflicts that arise in executive team scheduling.
- Coordinate with other executive team executive assistants as required to enable critical meetings and appointments
- Build relationships with executive assistants at key clients and partners in order to enable Rios Partners business goals. Maintain knowledge of who the executive assistants are for key clients and partners.
- Actively track and provide updates on all meeting requests by the executive team. Proactively problem solve challenging meetings, including use of calendar tools that enable complex coordination
- Draft, review and send communications on behalf of company executive team
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Answer and respond to phone calls, communicate messages and information to the executive team
- Prioritize emails and respond when necessary
- Coordinate travel arrangements for executive team
- Maintain various records and documents for company executive team
- Manage the Rios Partners gift program in coordination with the business development team, ensuring proactive updates of addresses, names, etc. in our Customer Relationship Management tool
- Assist our remote-based Technology Services Administrator with on the ground IT hardware support, e.g. providing a new computer to an employee whose computer breaks
- Vet and maintain vendor relationships including those who support Rios client teams and act as an initial point of contact for external parties: includes including vendors, contractors, and publishers / printers as required for team support, etc.
- Perform other office administration duties (scanning, faxing, copying, filing, pulling reports, mail etc.) as assigned
- Manage the meeting room schedules (using Outlook and other room booking tools) and prepare rooms in advance of each guests arrival set up required material and technology
- Enter all guests into our buildings security system, meet and greet all candidates and clients upon arrival
- Maintain facilities functionality throughout the workday, specifically high-traffic areas such as the kitchen and other common areas and supply management
- Maintain physical security of the office by ensuring doors are locked an secured at appropriate times and issuing fobs
- Other tasks as assigned

- Proficient with Microsoft Office Suite or related software
Education and Experience:
- 3-5 years of executive assistant experience preferred
- Prior office administrator experience preferred
- Prior professional services experience preferred
Additional information:
- U.S. work authorization required
- Willing to work in the D.C. area, in person
