Administrative Assistant – Career Center
Full time - $20.00-$22.00/hour
Role Description
Provide clerical and administrative support to Career Center management and staff.
Major Responsibilities
- Manage phone calls, emails, and other forms of communication, routing inquiries to the relevant individuals.
- Prepare agendas and schedules for meetings.
- Record and distribute staff meeting minutes
- Prepare monthly career center reports, i.e. workshop attendance.
- Act as the contact for all vendors and payments.
- Monitor and maintain the Career Center’s section of the RochesterWorks website
- Handle incoming and outgoing mail, packages, and deliveries; duplicate, collate, and file materials.
- Monitor office equipment contracts and assist staff in operating office equipment.
- Order office supplies and maintain inventory.
- Orient new employees to office procedures.
- Handle miscellaneous correspondence and assist management with special projects and other duties as assigned.
- Works with management and staff to meet enrollment, expenditure, employment, retention, earnings, and credential performance goals.
Qualifications
- An Associate degree with two years of experience in a related field or an equivalent combination of education and experience.
- Must be able to prioritize and multi-task.
- Strong written and quantitative skills.
- Proficient in using Microsoft Office (Word, Excel, and PowerPoint), as well as familiarity with Zoom and Microsoft Teams.
- Organizational and time management skills, with an emphasis on timely paperwork and data management.
- Strong customer service orientation; experience working with diverse populations in a fast-paced environment a plus.
