What are the responsibilities and job description for the Development Coordinator position at Rock and Roll Hall of Fame & Museum?
The Development Division at the Rock & Roll Hall of Fame oversees Philanthropic Giving (Major Gifts, Foundation/Corporate and Government, Annual Fund), the Museum 2.0 Campaign, Board of Trustees, Rock Hall Membership Program. The Development Coordinator reports to the Director of Board & Campaign Giving and provides support for the areas of VIP and Board relations, capital campaign research and administration, and foundation application preparation. The Development Coordinator will also provide backup when needed for donor data input, solicitation and acknowledgment process.
RESPONSIBILITIES:
1. Development Division Office Management. Provides high-level administrative support to the Development division:
- Anticipates and prepares background and presentation materials for internal/external meetings, solicitations and development activities.
- Provides special handling to VIPs, donors, board members/trustees and Rock Hall members for special events, concerts and tours.
- Assists in all aspects of the planning and execution of department-related fundraising and cultivation events, special projects and initiatives.
- Maintain the Development calendar and Development Priorities for the Rock Hall Global Calendar
- Provide backup when needed for donor data input, solicitation and acknowledgment process.
2. Board Relations:
- Assists with tri-annual board activities including committee meetings, full board meetings, trustee on-boarding, and the annual board retreat – planning, implementation, execution and follow up.
- Assist with the preparation and execution of board mailings and email communications and tracks RSVPs for events.
- Enters board, donor and member data consistent with Rock Hall policies and procedures.
- Assists with verification and tracking of data entry to ensure accuracy of information.
- Supports in board engagement and cultivation.
3. Capital Campaign Support:
- Maintains calendar of Campaign activities regularly prioritizing and arranging meetings, next steps, materials, and presentations for prospects and Campaign Co-chairs.
- Work with Dir. of Board Giving to prepare pitch decks, research profiles, and pledge forms for capital campaign prospects and donors.
- Track progress against annual expected pledge payments and generate reminders three times annually.
- Assist in the creation and distribution of an annual donor impact report.
- Assist in the preparation and editing of campaign related grant applications and annual foundation reports.
- Help lead campaign related initiatives and donor recognition programs including the expansion of the CLE*VIP Program, the FirstEnergy Green Team, and others.
Duties include but may not be limited to the above.
JOB REQUIREMENTS AND QUALIFICATIONS:
- High school graduate and equivalent professional experience. Bachelor’s degree in related field preferred.
- A minimum of two (2) to three (3) years’ customer service experience, preferably in a cultural arts or not-for-profit environment. Prior membership and/or development experience helpful.
- Excellent listening and communication skills, including written and oral.
- Strong attention to detail.
- Positive, outgoing approach and enjoys interacting with members and the public.
- Willingness to learn and take initiative and manage multiple tasks and projects at a time.
- A professional, proactive, and resourceful style with the ability to work independently without close oversight.

- Computer Literate: Microsoft Products with strength in MS Excel and MS Powerpoint; Non-profit CRM and ticketing platform experience – SalesForce is a plus
