POSITION SUMMARY:
The Administrative Assistant to the Executive Director of the Oklahoma Military Academy Alumni Association will be responsible for general administrative duties, assisting with OMA Alumni database management, the annual OMA Alumni Reunion and other special events, publications, and office budgets, and support for administrative offices.

PRIMARY DUTIES:
- Provide administrative support including, but not limited to, the creation and maintenance of database reports;
- Assist with updating the OMA Alumni database and with the research and preparation of the OMA Alumni newsletter;
- Assist in scheduling tours and meetings in the OMA Museum and helping with the OMA Alumni board meeting;
- Assist in planning luncheons, receptions, and board meeting minutes;
- Order materials and supplies for the office, and keep financial records;
- Important: Assist with the planning and implementation of the annual OMA Alumni Reunion weekend and other OMA Alumni-related events;
- Assist with the University Switchboard as needed, which will include filling in on occasion during times when they are absent;
- Assist the Executive Administrative Assistant to the President as needed;
- Responsible for any other duties as assigned by the Executive Director of the OMA Alumni Association Office.
SECONDARY DUTIES:
- Provide administrative/secretarial support to other administrative office staff when needed;
- All other duties as assigned.
MINIMUM QUALIFICATIONS:
- Associate degree or equivalent amount of higher education and/or 3-5 years administrative experience.
KNOWLEDGE AND PREFERRED SKILLS:
- Proficiency in MS Word, Publisher, and Excel; are required;
- High degree of organizational skills and good writing skills;
- Flexible and ability to work in a fast-paced environment;
- Attention to detail;
- Exceptional communication skills;
- Willingness to learn new software programs.
Reports to: Executive Director of the Oklahoma Military Academy Alumni Association
Supervision Given to: Student Workers
Hours: 8:00 a.m. to 5:00 p.m. Monday – Friday with some after-hours as needed
