Summary
The Accounting Manager performs all accounting functions associated with the operation of the convenience store and fuel pump stations. Responsibilities include all activities associated with Revenue Recognition, Payroll, Accounts Payable, Accounts Receivable, General Ledger, Bank Account Activity, Inventory Control, Fixed Assets, Depreciation and Annual Audit Preparation. Must adhere to strict internal control standards in accordance with established policies and procedures and apply Generally Accepted Accounting Principles (GAAP) to analyze financial information and prepare data for financial reporting.
Essential Duties and Responsibilities
- Reconcile and record daily store and fuel sales and tax liabilities according to POS System reports and cash drop, researching discrepancies as needed.
- Enter vendor invoices into accounting system and process payments in a timely manner to ensure vendor payment and discount terms are met. Reconcile delivery verification paperwork for fuel purchases against EFT Payments and record accordingly. Obtain W-9 information as needed and file year end 1099’s as required.
- Process payroll according to established pay cycle. Responsible for all payroll related tax deposits and reporting including yearend W-2 statements. Reconcile and transmit 401K contribution information and funding. Maintain payroll system with all employee updates including pay rates, deductions, benefits, W-4 elections, workers compensation and accrual information. Ensure all payroll related expenses and liabilities are recorded in the General Ledger.
- Prepare all Accounts Receivable invoices and submit for payment. Actively review and address overdue accounts. Receive and record payments and deposit into operating bank account.
- Generate and make general ledger entries for month end revenue and expense accruals as well as Recurring, Adjusting, and Correcting Entries. Reconcile general ledger balance sheet accounts on a monthly basis.
- Maintain fixed asset records and record monthly depreciation. Update records as needed for asset purchases, disposals and gain/loss on disposal.
- Assist as needed in inventory control for store merchandise and sundries. Record any loss associated with inventory shrinkage as needed.
- Reconcile bank statements monthly.
- Prepare month end financial statements and reporting as required.
- Work closely with store manager to ensure continuity in the setup of the POS Sales System and the accounting system. Update both systems as needed for pricing, COGS, inventory, etc.
- Prepare all working files and audit reconciliations for annual audit and act as point-of-contact for all audit related concerns.
- Assist in the preparation of the annual budget and budget presentation to council.
- Other duties as assigned
Requirements:
Minimum 21 years of age
Qualifications
- Knowledge of Accounting systems, Sage preferred
- Proficient in basic computer applications, Excel, Word and 10-key.
- Effective organizational and time management skills.
- Excellent verbal and written communication skills.
- Thorough understanding of Generally Accepted Accounting Procedures (GAAP)
- Ability to interpret financial statements.
- Ability to apply basic math and algebra skills.
- Ability to write reports and business correspondence.
- Ability to effectively present information or respond to questions from managers, vendors or customers.
Education/Experience
Bachelor’s degree in accounting or finance and 2 years accounting experience; or an Associate’s degree in accounting or finance and 5 years of accounting experience; or an equivalent combination of education and experience. Must have experience with revenue recognition, fixed assets, and various expense accruals, such as payroll and accounts payable.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Excellent verbal and written communication skills
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to apply basic math and algebra skills.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret and apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to write reports and business correspondence. Ability to effectively present information or respond to questions from managers, vendors or customers.
Certificates, Licenses, Registrations
Must pass background screening. Valid California driver’s license
