What are the responsibilities and job description for the Facility Manager position at Romark Logistics?

The Facility Manager is accountable for all aspects of day-to-day operations of the internal and external physical building. Directs and initiates all facility activities involving safety, security, grounds, maintenance, sanitation, pest control, contractor coordination, and similar.

Tasks/Responsibilities:

  • Facility Manager will be responsible for scheduling daily projects to support the needs of the management team. Responsible for analyzing the need and distributing of tasks as required to the Facility Team. Facility Manager is responsible for continually training Maintenance Associate(s), and contractors on all aspects of the facility requirements. Safety must be exhibited and promoted as the number one objective.
  • Responsible for the fire system, weekly, quarterly, and yearly inspections and documentation, including extinguishers, hose bibs, signage and be prepared for emergency response and all fire system matters.
  • Responsible for the refrigeration system, inspections and documentation. Listed and trained as the county and state Facility Emergency Coordinator in the event of a refrigerant leak. Facility Manager is responsible for maintaining temperature and relative humidity following the standards in the QA Manual.
  • Responsible for initiating, observing, recording, and provides feedback for fire drills.
  • Maintains current OSHA SOP’s and information.
  • Responsible for training the management staff on emergency response, including individual roles and responsibilities. Responsible for developing procedures and training with the local fire departments.
  • Responsible for the security of the facilities including operating security systems and working with security service.
  • Facility Manager will be responsible for scheduling daily projects. Facility Manager will direct and discuss with Maintenance Associate(s) the daily projects and expectations. Facility Manager is responsible for continually training or teaching Maintenance Associate(s) on all aspects of the facility requirements. Safety must be exhibited and promoted as the number one objective.
  • Must be able to complete maintenance and repair tasks as needed.
  • Responsible for the overall cleanliness of the facility. This includes routine cleaning of the office space and the entire warehouse. Maintaining the white lines, sweeping under the racks, rack cleanliness, assisting with spillage cleanup, floor scrubbing, etc.
  • Responsible for Integrated Pest Management. Enforced by continual repetitive efforts both inside and outside of the facility. Responsible for trend analysis from the inspection data.
  • Occasionally coordinate with Sanitation Associates the direct orders passed on to the Facility Manager from the Operations Manager, General Manager, Owner, etc. Duties may include performing sanitation audits to insure accuracy, scheduling daily tasks with the Sanitation Associates, observing and assisting the Facility Manager with performance reviews.
  • Repair or report any other Romark problems to the Director of Facilities and/or Vice President of Operations to maintain “ownership of facility”.
  • Responsible for a large portion of the annual budget and therefore expenses. Facility Manager drives towards reducing costs and controlling costs where possible. Assists in the annual preparation of the budget documentation.
  • Schedule contractors and coordinate projects with the management team prioritized by need or requestor. Budgets accordingly, obtains and reviews the contracts, inspects projects during and after completion, approves the invoices for accuracy to the contract.
  • Purchasing of building materials, tools, fuel, etc., to be approved annually by the Vice President of Operations prior to purchase. Any variances to the budget are explained and requested prior to purchasing.
  • Responsible for the entire Powered Industrial Truck Fleet. This includes contractor management, developing procedures and training procedures to meet ANSI and OSHA requirements, auditing the processes to verify compliance, and reducing downtime. Responsible to assist the operation with providing the best equipment for the need.
  • Scheduling and verifying that preventative maintenance projects are being completed and recorded also that pm’s are performed throughout entire facility. Expected to keep logs for these tasks.
  • Responsible for the maintenance, inspection and records of yard trucks.
  • Must keep the facility operating under the worst conditions such as snow, rain, ice, power outages, and prepare for weather advisories.
  • Facility Manager is on call 24/7/365. Must be able to quickly asses all situations and respond quickly to minimize losses.
  • Must be able to work overtime as needed. Facility Manager must make every effort to repair or resolve any issues twenty-four / seven. Maintain the “On call procedures” with the Facility Manager taking the first call to determine who will respond, alternating if possible.
  • Must be able to resolve projects with minimal direction.
  • Facility Manager must develop and maintain inventory of required regularly used parts.
  • Participate in special projects as required.
  • Tasks/Responsibilities:

  • A minimum of an Associate’s degree (Bachelor's degree in engineering degree preferred); or 3 to 5 years facility maintenance experience with a minimum of 2 years management experience; or equivalent combination of education and experience.
  • 3 years of experience in a Facility Management Role with a proven track record of similar duties.
  • Must be experienced with electrical, plumbing, painting, carpentry, pneumatics and hydraulics, welding, light fork-lift or machine repairs, etc.
  • Must have a strong knowledge of national standards that relate to facility management.
  • Strong communication skills both orally and written required. Must be able to maintain a positive and professional attitude at all times.
  • Work requires significant attention to detail in safety, recording, logging, and inspecting.
  • Must have demonstrated ability to use a variety of computer software applications including word processing, spreadsheets, Autocad, email, and internet.
  • Knowledge of DOT rules and regulations
  • Physical requirement: Must be able to work at 50’ elevation from the ground. We offer an excellent benefit and compensation package. Successful completion of a pre-employment physical, drug screen and background check is required for all qualified applicants.
