We are seeking a highly organized and detail-oriented Logistics and E-Commerce Operations Coordinator to support our wholesale and e-commerce operations across major retail partners, direct-to-consumer platforms, and affiliate marketplaces. This role requires cross-functional collaboration with internal teams, third-party warehouses, and external partners to ensure accurate order processing, inventory integrity, and timely fulfillment. The ideal candidate thrives in a fast-paced environment and brings experience in EDI, warehouse coordination, Shopify, and affiliate platform management. .
Key Responsibilities
Logistics & Operations EDI Management:
- Send UPC data from ERP (RLM) to GXS and Intertrade catalogs.
- Receive, process, and troubleshoot EDI transmissions from major retail partners
- (Bloomingdale's, Saks, Saks Direct, Neiman Marcus, Shopbop).
- Remain current on EDI standards, updates, and partner-specific requirements.
Warehouse Coordination:
- Allocate customer orders.
- Continuously monitor inventory levels and shipment status; identify product shortages
- and reallocate stock as needed to fulfill high-priority accounts and meet cancel dates.
- Generate and transmit pick tickets to third-party logistics provider (Bergen) via FTP for
- processing.
- Oversee and expedite time-sensitive logistics, including coordinating with the warehouse
- on rush check-ins of inbound inventory and urgent outbound shipping requests to ensure timely delivery to key partners.
Order & Inventory Management:
- VAS - Create ticket spreadsheets and packaging instructions per account requirements.
- Order RFID tickets (Bloomingdales)
- Obtain shipping approvals from wholesale accounts.
- Confirm payment/account status before shipment and follow up on pending approvals.
- Resolve inventory discrepancies and request cycle counts.
- Monitor SLA and cancel dates, request shipping extensions when needed.
- Generate commercial invoices and international shipping documents.
- Manage routing guide compliance and dispute chargebacks with vendors and warehouse.
E-Commerce Operations Shopify (D2C):
- Push new products from RLM to Shopify; upload imagery and product descriptions.
- Transfer and publish inventory, manage product lifecycle (Draft → Live).
- Coordinate seasonal launches and newsletters with Marketing.
- Apply seasonal sale pricing and manage Final Sale tags for Meta/Instagram integrations.
- Use Better Reports for inventory analytics.
Affiliate Channels (Farfetch & Moda):
- Farfetch via STORM: Accept orders, generate shipping docs, manage new product uploads, and liaise with Partner Support on order issues.
- Moda via Mirakl: Upload products and tracking, manage offers, coordinate shoots, and handle bulk RAs.
Content & Coordination:
- Collaborate with internal stakeholders (e.g., stylists, copywriters, photographers) to manage content for e-commerce platforms.
- Track delivery of e-commerce selects and product edits.
Customer Service (D2C & B2B)
- Respond promptly and professionally to customer inquiries related to product details, order status, shipping timelines, return procedures, and damage claims—ensuring a high level of customer satisfaction and brand integrity.
- Process return authorizations (RAs) in RLM, generate corresponding Advance Shipping Notices (ASNs) for the warehouse, and create and distribute return shipping labels along with clear instructions to the customer.
- Clearly communicate international shipping guidelines and return policies, including duties, taxes, and timelines, to ensure transparency and prevent customer dissatisfaction.
- Coordinate reorders, product swaps, and provide product copy/images as needed.
Systems & Tools Knowledge
- RLM: Order management, RA creation, inventory transfers, EDI processing, customer setup/management
- Shopify: Product creation, asset management, order troubleshooting, customer refunds.
- Bergen WMS: Inventory validation, pick/pack routing, ASN tracking.
- Affiliate Platforms: STORM (Farfetch), Mirakl (Moda) – product management and
- tracking.
Qualifications
- 2–4 years of experience in logistics, operations, or e-commerce coordination.
- Proficiency with ERP systems (RLM preferred), Shopify, and affiliate retail platforms.
- Strong communication skills and ability to manage cross-functional tasks.
- Detail-oriented with excellent problem-solving skills.
- Demonstrated professionalism in handling customer service inquiries and client communications.
