Role Summary:
This individual will be based out of the Fort Myers office, you will have the opportunity to work with all office locations in southwest Florida. This role involves working in a team setting and independently across various disciplines to coordinate all activities and tasks associated with specific projects and permitting. Under direct or general supervision this position provides technical office and administrative support duties related to the processing and issuance of permits, client, and project coordination, assists with the overall office day-to-day operations, provides administrative support to the management group that may include draft documents, contracts, special projects and other administrative needs and related duties as required. What you bring:
- High school diploma, GED, or equivalent experience
- Previous industry-related permitting experience is preferred.
- Five (5) years of previous administrative, secretarial, and customer service experience
- Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Teams)
- Excellent written and verbal communication skills
- Excellent customer service skills
- Current understanding of or curiosity to learn local counties permit processing regulations and procedures
- Ability to review, interpret, and explain written documents
- Ability to work well in a team environment and independently
What you’ll do:
Permitting:
- Complete permit applications.
- Review permit documents, and other pertinent information at the public counter in order to verify accuracy and completeness of information.
- Review permit applications for completeness; processes permit applications and plan intake.
- Calculate fees based on established fee schedules, and monitors approval of plans by other regulatory agencies.
- Provide general project document distribution, reproduction, and tracking services for deliveries, courier services, and coordination printing services.
- Assist in all stages of the internal and external permitting services by collecting necessary project permitting pre-submittal data and information, compiling project submittals and tracking progress of project submittal documents with regulatory agencies and internal staff.
- Assists project manager by performing code and records research and compiling data.
- Support the project teams with general clerical services such as phone call and messaging correspondence, developing documents using Microsoft Word, and basic spreadsheet data entry services using Microsoft Excel including, letters, data entry, and meeting minutes.
- Coordinate scheduling of team, agency, and client meetings.
Administration:
- Assist with overall office day-to-day operations such as greeting clients, scheduling meetings, mailings, deliveries, supplies, file management, phone messages, and company emails.
- Provide administrative assistance, such as drafting documents/contracts, document management/organization, event coordination, and other special projects as requested to managers or group leaders
- Project set up and electronic file organization.
